We’re seeking a versatile Office Manager who can keep the back office running smoothly while driving continuous improvement across accounting, HR, and logistics functions.
Position Overview
Reporting to the Managing Director, the Office Manager oversees day to day business operations—including full cycle bookkeeping, payroll, and global shipping coordination—while providing exceptional internal customer service to our production, sales, and parts teams.
Key Responsibilities
Accounting & Finance
Full Accounts Payable cycle: match invoices to packing slips and enter into Sage; schedule check runs on the 5th & 25th.
Process bi-weekly payroll via ADP Workforce Now.
Prepare monthly, quarterly, and annual financial statements for the parent company, training will be provided.
File monthly excise tax reports, and quarterly L&I reports; perform bank reconciliations.
Handle international banking transactions (Letters of Credit, Cash Against Documents).
Accounts Receivable
Enter equipment sales orders, issue invoices, and manage collections.
Business & HR Administration
Maintain business licenses and annual Secretary of State filings.
Manage onboarding, terminations, benefits, and personnel files.
Coordinate on site/off site employee events.
Facilities & Contract Management
Oversee vendor contracts, office and janitorial supplies, and light facilities projects.
Support Functions
Provide minimal sales support and supervise parts inventory order management.
Cover reception duties as needed.
Logistics Coordination
Arrange domestic and international shipments of equipment via sea and air; manage documentation and compliance.
Required Qualifications
5+ years combined experience in office management, full cycle bookkeeping, and logistics coordination (manufacturing environment preferred).
Proficiency with Sage (or similar accounting software) and ADP Workforce Now payroll.
Solid knowledge of AP/AR, bank reconciliations, and state/federal reporting requirements.
Familiarity with Letters of Credit, CAD, Incoterms®, and freight booking.
Strong MS Office and Excel skills; ability to analyze data and streamline processes.
Excellent organizational, multitasking, and interpersonal skills.
Legal authorization to work in the United States.
Desired
Associate’s or Bachelor’s degree in Accounting, Business Administration, or related field.
HR certification (SHRM CP, PHR) a plus.
