We are seeking a proactive and detail-oriented Administrative Assistant to support our commercial flooring company. In this role, you will manage front desk operations, deliver exceptional customer service, and handle daily office tasks to ensure smooth operations. As the first point of contact for clients and visitors, you will play a key role in creating a professional and welcoming environment. Strong communication skills, proficiency in Microsoft Office, excellent phone etiquette, and organizational abilities are essential in this position.

Responsibilities:

Welcome visitors and clients with professionalism and a friendly demeanor.

Answer and direct incoming phone calls, address inquiries, and connect callers with the appropriate team members.

Handle office correspondence, including managing emails, mail, and deliveries.

Maintain accurate and organized filing systems for project documents, contracts, and other records.

Assist with scheduling appointments and coordinating calendars for project managers and staff.

Provide clerical support, including preparing project reports, contracts, and other documentation.

Monitor and manage office supply inventory, ensuring timely orders and restocking.

Support customer service efforts by addressing client inquiries and providing information about services and project updates.

Collaborate with team members to improve administrative processes and enhance operational efficiency.

Requirements:

Experience in an administrative or office management role in construction or a related field.

Strong front desk and phone etiquette skills, with the ability to manage calls professionally.

Familiarity with administrative tasks such as data entry, document preparation, and filing.

Proficiency in Microsoft Office.

Strong time management and organizational skills with the ability to prioritize and multi-task in a fast-paced environment.

Ability to prioritize tasks effectively and adapt to changing priorities.

Detail-oriented with the ability to maintain a strong focus on quality, accuracy, and attention to detail.

Excellent verbal and written communication skills with the ability to collaborate and communicate effectively with a professional, customer-focused demeanor.
