The right candidate will undertake administrative tasks, assisting Manger and Co Staff has adequate support to work efficiently. The tasks of the office assistant will include answering phones, emails & text, scheduling / updating jobs as the come in. The ideal candidate will be competent in prioritizing and multi-tasking. The office administrator ensures the smooth running of our company’s office and contributes to driving sustainable growth.
Background with Contractors or Subcontractors a plus, but not required.
Responsibilities
Coordinate office activities and operations to secure efficiency and compliance to company policies
Assist with Schedule and Tracking Job hours
Support phone calls and correspondence (e-mail, text. etc)
Support budgeting, contractual and bookkeeping procedures
Create and update records and databases with personnel, projects, and other data.
Works with Project Assistant and supports other colleagues whenever necessary.
SKILLS:
Outstanding communication and interpersonal abilities
Excellent organizational and independent working skills necessary
Familiarity with office management procedures and basic accounting principles a plus
Prior scheduling experience a plus, be able to adapt and adjust based on customer needs and staffing changes
Bilingual speaking for Spanish a bonus
Schedule: Monday- Friday Part Time to Full Time
REQUIREMENTS:
MUST have Office environment experience
MUST have QuickBooks knowledge and experience
MUST be Detail oriented
MUST read, Write & Speak English, Spanish is a plus
MUST have a WA State Drivers License and Pass a Drug Test
MUST have steady and long term job history
MUST have strong ability to multitask
MUST be Proficient in Microsoft Office - Outlook, Excel, Word
Excellent written and verbal skills
Exercise good judgment with clients and co-workers
