Job Description:

We are actively seeking a full-time Administrative Bookkeeping Assistant with at least 3 years’ experience in the Construction Industry to join our busy office operations. The right candidate will have a great understanding of the accounting cycle along with payroll and certified payrolls, PLUS will be an active contributor to continuous improvement initiatives within Silver Streak, Inc. In addition to other requirements, a minimum of 3 years’ experience in QuickBooks, Microsoft Excel, and Outlook is necessary. This position reports directly to the Controller/ Contract Administrator.

Duties and Responsibilities:

— Accounts Receivables:

Enter data in Excel that uploads into QuickBooks to create customers’ invoices.

Organize invoices and support documentation for mailing/ filing.

Update Excel worksheets with current rates, customers, jobs, and materials, etc., ensuring items match exactly with QuickBooks. Create analysis data via Excel.

Work with material vendors and customers for pricing/payment disputes, while developing rapport. Request missing ticketed tonnage load and/or truck rental documents.

Track and record payments and transactions.

Support other Accounts Receivable personnel.

— Accounts Payable:

Use QuickBooks to enter vendor invoices into payables.

Verify expense reports.

Print check runs for management.

Support other Accounts Payable personnel.

— Payroll (QuickBooks):

Provide support to Payroll Coordinator.

Prepare Certified Payrolls with LNI as needed.

Create and monitor recruiting advertisements.

Assist with the new-hire onboarding process.

Request FMCSA (Federal Motor Carrier Safety Administration) backgrounds for CDL drivers, and drug tests for driver and shop employees and candidates.

— Miscellaneous Other:

Continuous improvement suggestions for Employee Relations, Training Processes, and Operational Procedures.

Assist in documenting and reviewing Operational and Training Manuals.

Assist in updating projects to be in compliance with new processes.

Perform more advanced Excel functions e.g., pivot tables, VLOOKUP/ XLOOKUP, index match, power query for reporting and continuous analysis.

Support the Shop Inventory Clerk and Project Coordinator as needed.

Other duties as assigned.

Qualifications:

Three years of experience in the Construction Industry.

Three years of experience with QuickBooks and Microsoft Excel.

Progressive accounting experience.

Knowledge of construction pay applications, certified payroll, prevailing wage, insurance certificates, private, public, and federal projects preferred.

Meticulous attention to detail and recordkeeping.

Initiative, commitment, dependability, and a demonstrated work ethic.

Knowledgeable, experienced, and flexible.

Bachelor’s Degree preferred or additional year for year experience in Construction Industry.
