POSITION SUMMARY: Under the supervision of the Accounting Manager, the Accounts Payable Specialist is responsible for managing the Accounts Payable process, assisting with department reporting and records, and is an essential team member of the Finance & Accounting Department. The Accounts Payable Specialist is also responsible for processing invoices, reconciling vendor accounts, and developing relationships with staff, internal customers, and external customers. There will be on-the-job training for this role, as it will expand in its definition over time.

ESSENTIAL RESPONSIBILITIES:

Manages vendor information within the accounting system.

Manages and organizes vendor and payment data with SharePoint for ease of access during audit.

Files, reviews, and sends managers vendor invoices for coding; critically reviews manager coding for accurate entry into the accounting system.

Manage and initiate timely vendor payments.

Assists with month-end close by recording and managing expense items.

File and maintain journal entries for internal and audit purposes.

Serves as back up to other accounting functions as needed within the department.

Moderate exposure with contract management

High level of detail required for accurate recording of fund use.

Competent organizational skills needed to manage invoices and vendor email traffic.

Serves as back up to track of credits owed to the company and ensures all credits are properly applied to vendor payments.

Performs other duties as assigned by Accounting Manager and serve as appropriate backup for the accounting team.

Reliably attend and participate in training and development as needed for your role and the needs of our Agency as a whole such as program requirements, DEI&J, supervision and others as identified.
