The TeamOur Global Health (GH) division harnesses advances in science and technology to save lives in poor countries. We focus on the health problems that have a major impact in developing countries but get too little attention and funding. Where tools exist, we support sustainable ways to improve their delivery. Where they don’t, we invest in research and development of new interventions, such as vaccines, drugs, and diagnostics. Our work in infectious diseases focuses on strategies to fight and prevent HIV/AIDS, malaria, tuberculosis, neglected tropical diseases, enteric and diarrheal diseases, pneumonia, and maternal, newborn and child health. The Integrated Development (IDev) team is a functional team that supports all aspects of product development for our priority diseases, in the domains of regulatory affairs, quantitative sciences, chemistry manufacturing & controls, and clinical trial design. This position is a limited-term position for 18 months. Relocation will not be provided.Your Role You are responsible for the coordination, implementation, and follow-up of a range of activities in support of the lifecycle of grants and contracts. You coordinate a portfolio of investments including grants, contracts, program-related investments and other projects in support of the programmatic strategic goals of the team’s domains . You provide budget oversight and planning, financial analysis, financial reporting, and overall portfolio and operations process management. You act as primary support for grantee/vendor work initiation, reporting and closure . Y ou also serve as liaison across multiple internal teams. Beyond investment management, this role supports the development of team-wide process improvements and roll-out efforts of new internal processes, in support of the efficient operations of the team . Finally, you play a role within IDev’s PC team and Business Team as well as within the foundation PC community. What You’ll Do

Grants and Contracts Administration: Work with Program Officers, Grantees, and Business Partners during the initial stages of grant making ( e.g. sending out requests for proposals, driving key timelines for submissions and revisions). Assist with grant management and evaluation by requesting and reviewing written materials (including grant summaries and reports) . Lead grant development/management continuous improvement efforts for the team.

Grant and Contracts Coordination: Coordinate contracts, including tracking of invoicing and deliverables, receipt of required reports and monitoring expenditures. Shepherd the development, management, and closeout of grants . Coordinate the end-to-end contract and grant processes with internal parties (contracts, grants & legal business partners) and external parties (vendors & grantees) within the investment systems.

Data Input, Management & Analysis : Manage data for all grants and contracts in multiple databases and cloud storage (SharePoint) sites. Provide detailed financial analysis and ensure data integrity to support team's financial decision making, specifically at the domain level . Work with the Senior Program Manager and Program Officers to keep all pertinent information accurate and up to date for reporting and analysis. Serve as point-person for Program Officers regarding budget targets and individual investment portfolio management . Support monthly data cleanup efforts on behalf of the team, contacting and advising other PC/SPCs (Program Coordinator) as needed.

Domain-level Portfolio Management: Monitor/Handle progress of a domain portfolio against payout targets. Track programmatic goals and results in coordination with leadership. Develop relationships with key internal and external partners. Work with leadership to develop processes and tools for performance management.

Project management: More in-depth influence in programmatic areas. Work side by side with Program Officers on developing non-technical portion of project framework, e.g., developing outputs and timelines for investments and working on sophisticated investments . Track progress against milestones, identify risks and mitigation tactics, advance issues for resolution when needed.

Support and ad-hoc lead within the PC/business team, for instance to:

Initiate and facilitate the development and roll-out of standard methodologies, and training new people (POs (Program Officer) and PC/SPCs) and temporary employees;

Support the SPM (Senior Program Manager) and DDSPM (Deputy Director, Strategy, Planning & Management) in the Annual Planning process;

Partner with FP&A (Financial Planning and Analysis) in crafting financial forecasts and snapshots as needed to support domain portfolio management.

Facilitate PC community development at the foundation level through cross-division engagement with other PC/SPC teams.

Involved in the management and continuous refinement of the IDev team-wide “Rhythm of Business ”.

Your Experience

Bachelor’s degree with 3-5 (Program Coordinator) or 5-8 (Senior Program Coordinator) years of experience . Project management, portfolio management, program management, financial management , financial reporting, non-profit or related industry, and/or business experience preferred.

Excellent organization skills and attention to detail, timelines and policy compliance.

Excellent oral and written communication skills. Demonstrates effectiveness influencing individuals and teams without explicit authority. Ability to optimally connect with external partners.

Expert knowledge of, and ability to work across, multiple investment-making systems based in Access, Excel, SharePoint, and other web-based software applications. Basic SharePoint site administration skills.

Knowledge of budgeting, financial analysis and synthesis. Ability to analyze data across multiple tools and databases.

Well-developed project management skills. Ability to handle multiple and competing demands and establish priorities.

Able to work with flexibility, efficiency, and tact in a fast-paced, challenging environment . Open to rapid change and able to learn new things quickly. Able to proactively reflect on what is needed next, even without expertise in programmatic content.

Ability to work independently and as part of an integrated, diverse team and be comfortable in varied settings, adjusting to different individual work and learning styles.

Must be able to legally work in the country where this position is located without visa sponsorship.

The salary range for this role is $35.01 to $49.00 USD per hour. We recognize high-wage market differences in Seattle and Washington D.C., where our offices are located. The range for this role in these locations is $35.01 to $49.00 USD per hour. As a mission-driven organization, we strive to balance competitive pay with our mission. New hires salaries are typically between the range minimum and the salary range midpoint. Actual placement in the range will depend on a candidate’s job-related skills, experience, and expertise, as evaluated during the interview process.
