Whatcom Community College invites applications for a Program Specialist 2 (107I) position in the College's Enrollment Services department. This is a lead position that reports to the Associate Director for Admissions and Enrollment Operations. This position supports the admissions, records and registration functions for all student populations using the student management system, ctcLink and other databases. The ideal candidate will have skill sets in trouble shooting admissions and registration anomalies and will take the initiative to streamline processes for students, staff and faculty. This position requires the ability to work both independently and as a team. Experience with data entry, communication and problem solving is essential.
Responsibilities
Act as the first line of communication for Enrollment Services, including Admissions and Records & Registration inquiries that come through the department's shared email accounts and phone.
Responsible for daily Enrollment Services tasks such as: processing applications, enrollment requests, transcript requests, program plan updates and other related requests.
Troubleshoot and problem-solve student record-related issues and errors.
Provide clear communication of departmental processes to students and community members.
Follow FERPA regulations and maintains the privacy and accuracy of student records.
Responsible for processing tuition waivers for special populations including senior students, student athletes, veteran students, and state employees.
Resolve admissions questions and concerns received via email, phone call and in person at Orca Central.
Support admissions functions such as maintaining cancelled admissions applications and processing admissions applications as needed via the registration email and in Orca Central.
Manage the enrollment cancellation and term withdrawal process.
Support students with residency inquiries and resolving residency issues related to tuition calculation.
Support ctcLink process training for staff.
Provide ongoing support to update department webpages, business processes and training manuals.
Support query building in ctcLink.
Attend Enrollment Services and Student Services Division meetings to remain current on processes, procedures, and campus initiatives and concerns.
Represent Enrollment Services office at on-and-off-campus meetings as needed.
Support special projects and other duties as assigned.
Potential supervision of student employees.
Qualifications
Minimum Qualifications
Associate's Degree.
Two years' experience in an office setting.
Or equivalent combination of education and experience.
Preferred Qualifications
Experience in community college admissions and enrollment/records setting.
Experience with student management computer systems.
Working knowledge of database systems and query building.
Fluency (written and spoken) in a language other than English.
Salary
Salary:
Range 42, full-time Classified salary starting at $3,643.00 per month with periodic increments to $4,740.00 per month.
Benefit Package:
The position comes with a full benefit package, including health, dental, life, long-term disability insurance and a retirement plan.
Accrues 8 hours per month of sick leave and 11.33 hours per month vacation leave with periodic vacation accrual increases based on longevity.
