Job Title: Part-Time Homeowner's Association Office Manager

Job Summary:

We are seeking a proactive and highly organized individual to join our team as a part-time Homeowner's Association Office Manager. The ideal candidate will be responsible for overseeing the administrative operations of the HOA office, managing communication with residents, vendors, and board members, and ensuring the smooth functioning of day-to-day activities. This role requires excellent communication skills, attention to detail, and the ability to multitask effectively.

Responsibilities:

1. Office Management: Manage the day-to-day operations of the HOA office, including but not limited to answering phones, responding to emails, filing paperwork, and maintaining office supplies.

2. Communication: Serve as the primary point of contact for residents, vendors, and board members, addressing inquiries, concerns, and requests in a timely and professional manner. Distribute information to residents via newsletters, emails, and other communication channels.

3. Meeting Coordination: Coordinate and schedule HOA board meetings, annual meetings, and other community events. Prepare meeting agendas, take minutes, and distribute meeting materials to board members and residents.

4. Financial Administration: Assist with financial tasks such as processing payments, issuing invoices, making payments, and maintaining accurate financial records. Collaborate with the treasurer to prepare budgets, financial reports, and assessments.

5. Vendor Management: Liaise with vendors, contractors, and service providers to coordinate maintenance, repairs, and other services within the community. Obtain quotes, negotiate contracts, and ensure compliance with HOA regulations and standards.

6. Enforcement of HOA Rules: Enforce community rules and regulations by addressing

violations, issuing warnings, and coordinating with the board to implement fines or other

penalties when necessary. Maintain records of violations and resolutions.

7. Community Engagement: Facilitate community engagement initiatives, including social events, volunteer opportunities, and neighborhood watch programs. Foster a sense of community pride and cooperation among residents.

Qualifications:

- High school diploma or equivalent required; additional education or training in office

administration or related field preferred.

- Previous experience in office management, customer service, or homeowner's association administration preferred.

- Strong organizational skills with the ability to prioritize tasks and manage time effectively.

- Excellent communication skills, both written and verbal, with a customer service-oriented approach.

- Ability to obtain a dishonesty bond.

- Proficiency in Microsoft Office Suite and basic office equipment.

- Knowledge of Quickbooks.

- Knowledge of HOA laws, regulations, and governing documents is a plus.

- Ability to work independently with minimal supervision.

- Attention to detail and accuracy in record-keeping and administrative tasks.

Compensation:

Compensation will be based on experience, beginning in the $22-$24/hr range.
