Whatcom Community College welcomes applicants for a Program Specialist 2 (Class Code 107I) to support the mission of the WCC Foundation. The Program Specialist plays an important role planning, organizing, and coordinating Foundation operations in support of WCC Foundation and WCC goals. This position reports to the WCC Foundation Operations Manager and resides in the WCC Foundation building. Utilizing strong interpersonal skills, the program specialist interacts with a wide variety of stakeholders to build community with general community members, prospective financial supporters, WCC Foundation Board of Directors and Emeriti members, donors, and the campus community including student scholarship recipients.
This position will provide key administrative program support for the WCC Foundation's operations, gift processing, and for the WCC Foundation Executive Director and Foundation Board functions.
Responsibilities
Foundation Operations Administration:
Serve as the first point of contact for donor, Board member, and campus community inquiries and in-office visits through management of the Foundation email inbox, mail, phone, and on-site office hospitality.
Manages and responds timely to Foundation email inbox and phone requests and inquiries through the development of templated responses and researching appropriate answers in coordination with Foundation staff.
Provides information and technical assistance to public inquiries regarding the Foundation and it's programs.
Greets office visitors and addresses initial inquiries and requests.
Maintains and records accurate and timely records of all interactions in the Foundation donor database CRM.
Manages the Foundation mail systems with appropriate oversight and confidentiality.
Under general supervision of the Operations Manager, the PS2 is responsible for gift receipt processing including data entry, gift receiving as appropriate, tracking in the CRM and preparing donor gift acknowledgments and tax receipts.
Provides data entry and light bookkeeping duties, including expense and income recording, running basic financial reports, and preparing initial monthly reviews for the Operations Manager and Executive Director, in accordance with established guidelines and procedures.
Prepares mailings and communications as requested including donor appeals, impact statements and reports in coordination with Foundation staff and WCC's copy and print services.
Compiles and updates the Foundation operations manual.
Provides administrative and scheduling support to the Executive Director for WCC Foundation and WCC Foundation Board by preparing board and committee materials, coordinating meeting scheduling and managing administrative meeting tasks such as meeting setup, staffing the meeting, taking and preparing meeting minute records and related duties.
Monitors program activities in relation to established program goals, including the tracking of funds and grants by WCCF as assigned.
Participates in program reviews to help determine program procedures, development and establishing standards.
Facilitates vendor engagement, payment, and supply purchasing.
Supports volunteer management strategies, onboarding, and orientation.
Coordinates regular governance updates related to Foundation programs.
Other duties of a similar nature and skill level as assigned.
Qualifications
Minimum Qualifications:
-Bachelor's degree or equivalent experience.
-Skill in using spreadsheets, word processing, and database management software.
or
-equivalent combination of education and experience.
Preferred Qualifications:
-Ability to work effectively with a variety of constituencies, administrators, faculty, staff and students.
-Maintain the confidentiality and privacy of communications, including donor information.
-Experience supporting a Board of Directors and/or Executive.
-Bookkeeping or financial reporting experience.
Salary and Working Conditions:
-Range 42, full-time Classified salary starting at Step C $3,811.00 per month with periodic increments to $4,740.00 per month.
-Position's work schedule is 40 hours per week. Monday- Friday 8:00 am - 5:00 pm.
