OFFICE ASSISTANT

The Office Assistant works under supervision of the Assistant General Manager - Administration and performs a variety of administrative support tasks and provides assistance and service to members, guests, the Board, contractors and other service providers.

Duties and Responsibilities:

Provides varied office administrative and service assistance to members, guests, the Board contractors and other service providers.

Performs general reception checking in and directing guests, contractors and service providers.

Answers phone, in person and email enquiries providing general information, and responses relating to such matters as Park events, Bylaws and Rules, Park building permits, billing and assessments, dump usage and sales of miscellaneous items and event tickets.

Performs filing, routine data input, and prepares routine correspondence and reports; receives and records payments from members.

Accepts, receives and sorts mail, courier and supplier deliveries.

Performs filing, and sorting of correspondence.

Ensures that all files, correspondence and documents are confidential, respecting member and staff privacy.

Ensures that office equipment is in operational order; orders appropriate office supplies and other materials as requested.

Reports issues and required repairs to a supervisor.

Required Knowledges, Abilities and Skills

Demonstrated ability with standard office computer programs such as Word and Excel.

Demonstrated ability to perform office administrative tasks such as data input, maintaining filing systems, receiving and sorting mail and other deliveries, receiving and recording payments, preparing routine correspondence, reports and documents and performing reception duties.

Demonstrated ability to relate and communicate effectively with staff, the Board, members, guests, contractors and suppliers.

Ability to perform tasks that require bending, lifting and stretching.

Ability to multi-task and work independently under general supervision.

Demonstrated ability to learn, and retain information regarding Park activities, and operations and applicable processes and practices.

Some related office experience.

High school graduation.

A valid Driver’s license.
