General Purpose
Performs specialized clerical work in support of municipal court operations. Works with confidential and highly sensitive information, prepares and maintains legal documents, and schedules routine court activities which require frequent contact with the judge, attorneys, defendants, other agencies, and the public.
Court Administration
Plans, schedules, and completes day-to-day activities.
Assists in the development of operational policies and procedures.
Provides administrative support and oversight to the Court to ensure its effective and efficient operations.
Ensures compliance with federal, state, City, and departmental policies, procedures and regulatory requirements.
Responds to requests for information; independently assesses appropriate response or required actions; directly responds to resolve issues.
Disseminates information as required to attorneys, law enforcement, military branches, and other appropriate agencies.
Prepares and processes Judge-approved schedules and procedures, including processing bench warrants, ordering driving abstracts, notices to DOL, etc.
Updates Judicial Information System (JIS) with hearing results, obligations, and court orders; reviews the same to ensure they are complete and correct.
Prepares dispositions.
Prepares Pre-Trial Orders and Judgment and Sentence documents for the Judge in a timely manner.
Processes court-ordered bench warrants and no-contact orders accurately and in accordance with the law.
Court Scheduling
Prepares Court calendar; prepares and breaks down courtroom for all required hearings.
Schedules and attends municipal court hearings including criminal and infraction cases, jury trials, motions, and pre-trials, and prepares and/or distributes appropriate documentation.
Records and accurately documents court proceedings.
Coordinates juror notification and selection; monitors individuals in custody awaiting hearings and serves as bailiff.
Accounting
Reviews and processes court-related billings and invoices.
Inputs budgetary receipts into JIS.
Arranges and sets-up accounts for time payments of fines; refers unpaid fines to collection agency for action and/or notify authorities.
Provides internal audits on warrants, collections, time pay agreements, orders, etc.
Records Management
Prepares and confirms the accuracy of court documents delivered to and from the prosecutor and defense attorneys.
Accurately maintains files and dockets.
Monitors the electronic recording system for court-on-court dates.
Manages records retention, purging, and archiving of court documents.
Education and Experience
Associate degree with paralegal coursework. Bachelor’s degree preferred; AND
Requires a minimum of two (2) years of increasingly responsible experience within a court environment; OR
Equivalent combinations of education and experience that provide the incumbent with the necessary qualifications may be considered.
Special Requirements
Must have a valid driver’s license and appropriate insurance at the time of hire for work-related travel.
Must pass appropriate background checks.
