In this position, you will enhance the effectiveness of day-to-day operations of the organization and provide critical administrative and IT support in both the physical office space and the virtual ‘workplace’. This opportunity is best suited for someone who enjoys playing an active role in supporting staff and delivering seamless administrative services that help the organization to function at its best. This involves having a keen attention to details, anticipating the needs of staff, and self-directing in a fast-paced, mission-driven work environment. We collectively uphold this commitment.Areas of ResponsibilityServe as the point person for the office to ensure that all operational and logistical needs are supported. Maintain robust inventory tracking procedures. Oversee office maintenance to ensure it remains in optimal working condition.Oversee the office use and organization’s annual calendars. Ensure needs of large gatherings in-person (held in the office), virtual (zoom), and hybrid (some of both) gatherings are met.Serve as the point person for all IT-related needs of the organization including but not limited to coordination and administration of software platforms, computer setup and hardware needs, including purchasing and shipping, coordinating with the external IT contractor, and facilitating system and policy upgrades. Ensure IT procedures are being followed across the organization.Serve as an administrative point person of the organization, coordinating with the Ops team to ensure that the day-to-day needs of staff are being met with a focus on efficiency and internal customer service.Support the overall operations of the organization through a variety of administrative functions, including taking meeting minutes and communicating action items, scheduling, Board administration support, software billing and monthly income and expense tracking.Who You AreMust be able to work on-site in Bellingham, WA at least 2 days a week and additionally as neededTech-confident, customer service-oriented and creative solutions-mindedEnthusiastic about the coordination of shared services, skilled at creating a welcoming and supportive professional environmentExceptionally organized, with a keen attention to detail and ability to accomplish tasks within timeline and budgetAn effective communicator and active listener; able to clearly communicate in person and in virtual settingsDemonstrates sound judgment and discretion when dealing with sensitive matters pertaining to the Board, finance, or HRCommitted to and engaged with issues of social justice, diversity, equity, and inclusionSelf-motivated and able to work independently and within a team environmentPassionate about the mission and values of the Non-GMO ProjectFlexible and adaptable within the context of an ever-evolving nonprofit environmentExperience You BringWe place a high value on lived experience coupled with professional experienceStrong preference will be given to candidates who are aligned with the Non-GMO Project’s mission and valuesDemonstrated knowledge of and experience in office coordination and administrative dutiesDemonstrated knowledge of and experience in IT solutions and cybersecurity best practices, using and administering a variety of software applications.Exceptional organizational skillsMinimum 3 years related administrative experienceAbility to drive and access to a personal vehicle is preferredRelated degree or equivalent education a plusExcellent written and oral communication skillsNonprofit experience is a plusCurrent Benefit PackageHealth, vision, and dental insurance: the Non-GMO Project offers a wide range of medical insurance options and contributes a flat rate towards employee premiums.
