Gift Planning Operations Coordinator - 502419SUMMARY: As an essential member of the Gift Planning team, the Gift Planning Operations Coordinator is responsible for overseeing the Gift Planning's key operational functions including management of planned giving donor gifts and records, creation of donor lists, coordinating estate gifts, producing donor acknowledgements for planned gifts, assisting with the management of life income gifts and operational support to the gift planning team. The position will report directly to the Director of Gift Planning.RESPONSIBILITIES: Gift and Database Management Partner with the Director of Gift Planning, gift officers, office of business and finance, donor relations, and advancement services to oversee the intake, processing and acknowledgement of planned gift commitments. Monitor and analyze current planned giving donor records to ensure data integrity and identify areas requiring clean-up.Work with the Director of Gift Planning to coordinate and process estate gifts. Communicate with external parties (Lawyers, Accountants, Financial entities, etc.) and provide necessary information.Partner with the Director of Gift Planning and office of business and finance on the processing and management of life income gifts to ensure proper accounting, compliance, and donor stewardship.Work with the Director of Gift Planning to provide information requested for the annual audit.Create queries and donor lists for a wide range of communications. Monitor and track communication results.Create and produce planned giving reports as needed.Operational Support Support gift planning team members including assisting with travel, purchasing, meeting facilitation and overall office operation requests.Point of contact for outside gift planning vendors, assist with contract renewal and invoice processing as needed.Maintain accurate information on Gift Planning website pages.Support gift planning events.Additional duties as assigned.QUALIFICATIONS:Advanced knowledge in computer and software applications, including Microsoft Office, Google Suite products and Adobe.Excellent attention to detail. Proven experience working with a high degree of accuracy.Strong data analysis skills.Excellent project management skills. Demonstrated ability to use judgment and analytical skills to organize and prioritize work and problem-solve.Strong oral and written communication skills.Ability to work independently as well as proven flexibility to work within a team environment.Ability to adapt to change while maintaining a positive attitude and strong interpersonal skills.The ability to work effectively with a wide range of constituencies in a diverse community.Must exhibit a high level of professionalism and commitment to the highest degree of confidentiality.EDUCATION & EXPERIENCE:Bachelor's degree in a related field or equivalent experience, preferred.Experience working in an advancement, development, accounting or legal office environment, preferred.Experience with Blackbaud database or comparable development software, preferred.WORK HOURS:Full-time, non-exempt positionMonday - Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week Seasonal, evening, and weekend work will be periodically required throughout the year (e.g. Charter Associate events, Homecoming, Reunion, etc.)SALARY STRUCTURE:Pay Grade 5 (Hiring Range $19.72 to $26.13 per hour)ABOUT UR:At the University of Richmond, we're creative, inclusive, and determined.
