The Challenge : The Marine Corps Systems Command (MCSC) is responsible for planning, coordinating, and executing comprehensive acquisition strategies, policy development for the respective areas of interest and analysis of its program portfolio inclusive of product support for the United States Marine Corps (USMC) acquisition programs and fielded assets. Additionally, this comprehensive knowledge and experience in providing senior leadership and expertise, oversight, verification, validation, and evaluation support to ensure effective management support is critical. When you join JCTM, you are joining a team that empowers people, does what is right, and believes that every ‘JCTMer’ has a role in helping manage our culture.Challenging projects: The successful Administrative Assistant on our team will provide high-level administrative support to the offices of MCSC Chief of Staff, Office of Counsel, International Programs, Program Manager Logistics Integrated Information Solutions (LI2S), or Program Manager Wargaming Capability (WGC). You will monitor, receive, and review tasks from Enterprise Task Management Software Solution (ETMS2) and promulgate ETMS2 tasks to the appropriate Government lead. You will prepare ETMS2 tasks for dissemination to the Government workforce, including providing concise instructions, suspense dates, levels of required review, and the requirement to submit a comment resolution matrix. You will track ETMS2 tasks for responses, closure, metrics, and historical information and consolidate and review responses, provide follow-up, validate responses, and obtain any missing or incorrect responses. Additionally responsibilities include:

Update the Deployed Status Report each business day based on Government-provided inputs.

Collect and compile data from Program Managers regarding program data, types of events, dates, locations, and other pertinent data relating to events requiring support from the Operating Forces.

Track and verify all such event data using SharePoint and Microsoft Excel.

Compile deployment packages for personnel traveling OCONUS in support of MCSC and PEO LS entities in accordance with MCSCO 3100 and the Deployment/OCONUS travel Checklist provided by the MCSC Operations Center.

Prepare MCSC Public Release Requests with Government-provided information and submit through the MCSC PRR SharePoint to the required stakeholders.

Follow up with the required stakeholders and provide periodic status updates.

Notify the originator of the request's disposition upon completion of staffing.

Compile final deployment packages for personnel traveling OCONUS in support of Commander, MCSC, CoS, DC RM, DC SEAL, Legal, IP, LI2S, Program Manager Wargaming in accordance with MCSCO 3100 and the Deployment/OCONUS travel Checklist provided by the MCSC Operations Cell, for review and approval by the section Administrative Officer or Operations Manager.

Identify and report to the Government all instances in which draft deployment packages provided for Contractor review fail to comply with MCSCO 3100 and the Deployment/OCONUS Travel Checklist.

Review and edit correspondence for grammar, spelling, punctuation, and format in compliance with the Navy Correspondence Manual (SECNAVINST M 5216.5) and the GPO Style Manual.

Prepare (for Government review) drafts of official messages using AMHS.

Review and edit official message traffic for format and grammatical correctness and consistency.

Upon Government approval of the final product, release official message traffic via the AMHS.

You Have:

SECRET Clearance

Bachelor's Degree

2-4 years of experience providing comprehensive administrative support including managing communications, scheduling, and document handling.

Proficient in using Enterprise Task Management Software Solution (ETMS2) to monitor, receive, review, and disseminate tasks effectively.

Experienced in updating operational deployment status reports daily, ensuring accuracy and compliance with government-provided inputs.

Skilled in using SharePoint and Microsoft Excel for tracking and verifying event data.

Proficient in managing travel arrangements and logistics through the Defense Travel System (DTS), ensuring compliance with the Joint Travel Regulations (JTR).

Experienced in preparing and compiling deployment and conference packages in accordance with organizational standards and checklists.

Skilled in preparing and managing official correspondence and public release requests, ensuring adherence to the Navy Correspondence Manual (SECNAVINST M-5216.5) and organizational guidelines.

Adept at scheduling and managing calendars using Microsoft Outlook and Teams. Experienced in coordinating meetings, preparing agendas, and handling all meeting logistics.

Knowledgeable in handling sensitive information and ensuring compliance with security protocols.

Experienced in processing security clearance information and visit requests through the Defense Information System for Security (DISS).

Ability to apply discretion to sensitive topics.

Clearance: Applicants selected will be subject to a security investigation and must meet eligibility requirements for access to classified information; U.S. SECRET clearance is required.
