Description Responsibilities:General Administrative:

Open and close the property management office promptly, ensuring all equipment is functional.

Provide courteous and prompt responses to incoming calls and greet visitors warmly.

Manage correspondence, mail distribution, and office supplies.

Maintain cleanliness and organization of workspaces, common areas, and facilities.

Handle office furniture and equipment maintenance.

Assist in composing correspondence and maintaining tenant and vendor files.

Accounts Payable:

Code invoices and process accounts payable accurately.

Monitor budget versus actual expenses and ensure timely payment of expenses.

Maintain records of operating expenses and financial transactions.

Accounts Receivable:

Review and manage tenant accounts receivable, including rent roll information and billing accuracy.

Prepare and review tenant statements, invoices, and bill-backs.

Assist in annual tenant escalation reconciliations and resolve tenant queries professionally.

Foster positive tenant relations through effective communication and support.

Tenant/Building Administration:

Facilitate vendor contracts, service orders, and competitive bidding processes.

Compile new tenant packages and maintain lease files.

Process tenant requests and maintenance work orders promptly.

Update tenant information systems accurately and distribute necessary reports to relevant parties.

Manage tenant keys and access cards efficiently, ensuring security protocols are followed.

Requirements

Qualifications:

Bachelor's degree in Business Administration, Real Estate Management, or related field preferred.

Prior experience in property management or administrative roles is advantageous.

Proficiency in Microsoft Office Suite and property management software (e.g., Building Engines) is desirable.

Strong organizational skills with the ability to multitask and prioritize effectively.

Excellent communication and interpersonal skills, with a focus on delivering exceptional client service.
