Job Summary:

We are seeking a highly organized and detail-oriented Secretary to join our dealership team. The ideal candidate will provide administrative support, manage daily office operations, and assist with customer service. This role requires excellent communication skills, multitasking ability, and proficiency in office management software.

Key Responsibilities:

Administrative Support:

Answer and direct phone calls, emails, and inquiries in a professional manner.

Maintain dealership records, files, and confidential documents.

Prepare reports, memos, and correspondence as needed.

Schedule appointments and coordinate meetings for management.

Customer Service & Front Desk Management:

Greet and assist customers, ensuring a positive dealership experience.

Manage the reception area and maintain a welcoming environment.

Address customer inquiries and direct them to the appropriate department.

Dealership Operations Assistance:

Process vehicle sales paperwork and assist with title and registration documentation.

Organize and maintain inventory records.

Assist with invoicing, billing, and financial transactions.

Support HR functions such as onboarding paperwork for new hires.

Office Coordination:

Order and maintain office supplies and equipment.

Ensure the office operates efficiently by managing clerical tasks.

Maintain calendars and schedules for executives and sales teams.

Qualifications & Skills:

High school diploma or equivalent (Associate’s degree in business administration preferred).

Previous experience in an administrative or secretarial role (preferably in the automotive industry).

Strong organizational and multitasking skills.

Proficiency in Microsoft Office (Word, Excel, Outlook) and dealership management software (e.g., CDK, Reynolds & Reynolds) is a plus.

Excellent verbal and written communication skills.

Ability to handle confidential information with discretion.

Customer service-oriented with a professional demeanor.
