Job Description:
TrustWorks Construction, a company that proudly serves veterans through construction projects, is seeking a dedicated Office Administrator to join our team. This position will provide crucial support to the owner, who specializes in restoration, remodeling, additions, insurance claims, roofing, and exterior construction projects.
Responsibilities:
-Manage the owner's schedule and appointments using Google Calendar, Outlook, and other tools.
-Handle email correspondence and prioritize messages for the owner's attention.
-Assist with bookkeeping tasks, including data entry, invoice processing, and payroll.
-Maintain organized filing systems for documents, contracts, and client information.
-Generate professional documentation such as proposals, contracts, and reports.
-Act as a liaison between the owner and clients, vendors, and subcontractors.
-Assist with project management tasks, including tracking timelines and budgets.
-Perform general office duties such as answering phone calls, greeting visitors, and ordering supplies.
-Ensure the office environment is clean, organized, and conducive to productivity.
-Update and maintain the company's CRM, customer database, and social media channels.
-Utilize AI and current tech programs, and software to enhance efficiency and effectiveness.
-Setting up preliminary reports for inspections and estimates.
Qualifications:
-Strong proficiency in Google Photos, Google Calendar, Outlook, and Microsoft Excel.
-Experience working with the VA or veterans, or understanding of military culture, is a plus.
-Bilingual in Spanish and English is preferred but not required.
-Typing speed of at least 60 words per minute is required, with a strong aptitude for learning and proficiently utilizing new programs and tools.
-Excellent communication skills, both written and verbal, with a focus on customer service.
-Detail-oriented with strong organizational skills and the ability to multitask effectively.
-Proactive problem solver who can anticipate needs and take initiative.
-Ability to work independently and as part of a team.
-Flexibility to adapt to changing priorities and deadlines.
