About the Role

Pharmacy/Durable Medical Equipment company is looking for a fast-learning, and highly organized Data Entry & Patient Support Specialist to join our growing DME (Durable Medical Equipment) pharmacy team. This role combines attention to detail with excellent customer service. You’ll be responsible for managing documentation, supporting patients and providers, and helping ensure that every order moves smoothly from intake to delivery.

We’re looking for someone who thrives in a dynamic environment, has excellent phone and interpersonal skills, and knows how to turn a difficult situation into a positive one. If you’ve worked in a pharmacy, medical office, or DME setting—and you’re a proactive problem solver—we’d love to meet you.

Key Responsibilities

Accurately enter patient information, prescriptions, and insurance data

Upload and organize key documents: referrals, faxes, medical records, PODs, etc.

Maintain up-to-date order tracking and documentation across systems

Follow up with providers and patients for missing items or corrections

Professionally answer calls, triage questions, and relay accurate information

Greet patients, providers, and callers with professionalism and empathy

Help de-escalate issues and resolve patient/provider concerns when they arise

Coordinate with intake, billing, and delivery teams to ensure timely fulfillment

Ensure all patient information remains HIPAA-compliant and secure

Required Qualifications

Prior experience in a pharmacy, DME company, or medical office

Proficient with digital tools such as EHRs, CRMs, spreadsheets, and file management

Fast learner with the ability to adapt to evolving processes

Excellent multitasking and time management skills

Strong written and verbal communication

Friendly, professional demeanor and clear phone etiquette

Detail-oriented and calm under pressure

High school diploma or equivalent required

Bilingual (English/Spanish) strongly preferred

Bonus Skills (Preferred but Not Required)

Familiarity with GoHighLevel CRM and Monday.com project management

Adobe Acrobat (fillable forms, uploads)

Proficiency in Excel and/or Google Sheets

Experience with insurance verification, authorizations, or DME billing

Reception/front-desk experience in a healthcare setting

Schedule & Compensation

Monday–Friday, Full-Time

Occasional weekend or after-hours availability a plus

Competitive hourly pay based on experience

Clear path for advancement into billing, intake, or management roles
