We are seeking a highly organized and proactive Personal Assistant to provide comprehensive support to our executive team. The ideal candidate will possess exceptional administrative abilities and a solid background in office management. This role demands a detail-oriented individual who can efficiently handle multiple tasks while upholding the highest standards of professionalism and confidentiality.

Key Responsibilities

Oversee the executive team's calendars, including scheduling appointments and coordinating meetings.

Provide event planning and logistical support for corporate events and team-building activities.

Assist in project coordination, ensuring timelines are adhered to and deliverables are met.

Manage bookkeeping tasks, such as tracking expenses and processing invoices, using QuickBooks.

Maintain a well-organized office environment through efficient filing systems and clerical support.

Accurately perform data entry tasks and maintain precision in all documentation.

Provide executive administrative support, including drafting correspondence, proofreading documents, and transcribing notes.

Manage phone systems, including handling multi-line calls and responding to inquiries with professionalism.

Utilize Microsoft Office Suite, Google Workspace, and DocuSign for document preparation and management.

Deliver exceptional customer service by promptly addressing client inquiries and needs.

Required Skills

Proven experience as a Personal Assistant or in a similar administrative role.

Strong organizational skills with the ability to prioritize and manage tasks effectively.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.

Familiarity with calendar management tools such as Microsoft Outlook Calendar.

Excellent typing and proofreading skills, with keen attention to detail.

Experience with office management practices and procedures.

Strong communication skills with an emphasis on customer service excellence.

Ability to work independently while collaborating effectively within a team environment.

Knowledge of transcription methods for accurate documentation.
