Job Title: Administrative Assistant (Part time)

Location: On-site, Austin Texas (901 South Mopac Expressway Austin TX 78746)

Job Type: Part-time (12 -18 hours per week) consistent onsite schedule 3-4 days per week of employees choosing

Compensation: $20-$30 per hour depending on skill level

Job Summary:

We are seeking a reliable, detail-oriented Personal Assistant and Administrator to support a real estate investment office. This role requires strong organizational skills, proficiency in Excel, and the ability to coordinate with both on-site and remote teams. The position is on-site for 12- 18 hours per week, with flexibility to choose the daily schedule as long as it is consistent each week.

Key Responsibilities:

1. File Management: Organize and maintain paper and electronic files. Migrate files between cloud storage and physical hard drives as needed.

2. Appointment Coordination: Confirm and manage executive’s appointments daily and ensure timely communication.

3. Virtual Team Coordination: Liaise with a remote virtual assistant to ensure seamless workflows.

4. Meeting Management: Set up and coordinate Zoom meetings, take detailed notes during construction meetings.

5. Property Management: Visit Austin-area properties monthly, meet with tenants, bring monthly treats, and inspect properties (6 buildings and 6 land sites).

6. Site Visits: Perform monthly visits to development land sites to check on honey bee populations, fences, and ensure the property is clear of trash or unauthorized occupants.

Qualifications:

1. Strong organizational skills and attention to detail.

2. Excellent proficiency in Excel and file management.

3. Ability to proof read documents and emails and correct grammar

4. Ability to hire building vendors and track their progress

5. Reliable and punctual with a consistent schedule.

Preferred Qualifications:

1. Experience writing and editing papers, letters, emails

2. Excel Experience – a plus, simple macros and pivot tables

3. Outlook Experience – exporting and saving PST files and CSV files
