The Department Coordinator will report to the Department Head of the Department of Civil, Architectural and Environmental Engineering (CAEE), within the College of Engineering. This position holds a central responsibility within the CAEE department, facilitating effective communication and operational excellence. Responsibilities include engaging with current and prospective students through various media, crafting compelling marketing materials, and maintaining an active social media presence. This role extends to event planning and management, covering a diverse range of activities from academic seminars to community-building initiatives. Additionally, the program manager oversees day-to-day operations, providing support to students, coordinating facility access, and managing office logistics. This multifaceted position offers an opportunity to contribute significantly to the department's success and cohesion.

Essential Functions

Events & Communication

Engage with current and prospective students via email, social media, phone, and in-person regarding departmental programs and admissions.

Plan and oversee department and faculty events, including meetings, conferences, seminars, workshops, and the weeklong CAEE Summer Institute, student graduation events, etc.

Conceptualize, develop, and manage community-building events for CAEE.

Manage and attend all student recruitment events (often during weekends), including open houses and admitted student days, to provide support and assistance to faculty and College.

Assist students when scheduling PhD candidacy exams, proposals, and defenses and serve as the primary communicator to the department regarding student seminars, exams, and events.

Serve as the departmental point-of-contact and responsible person with the College's Recruitment Committee regarding department and college recruitment activities.

Serve as the departmental point-of-contact and responsible person with the College's Marketing and Communications (Marcom) team regarding department activities, communications, public relations, and marketing for CAEE programs, faculty, students, and research.

Collaborate with college Marcom team to identify opportunities for departmental promotion and create publications across a variety of media (e.g., print, website, social, digital newsletters) and within university branding and communications protocols.

Program Outreach

Interact with all visitors to the office, especially current CAEE students to develop strategies to promote student retention, engagement, and success.

Assist the Department Head with coordination and interactions with the CAEE Industrial Advisory Board (IAB), including strategizing, planning, scheduling, minutes, etc.

Collaborate with department and College leaders and external stakeholders to enhance program materials and outreach.

Operations

Facilitate faculty and student access to department, College, and University facilities and services, coordinating tasks with external offices as needed.

Manage office tasks to support the department, including hiring and training student assistants, entering work orders, coordinating transportation, overseeing supplies, etc.

Fulfill other duties as assigned by the Department Head.

Required Qualifications

A bachelor's degree in a related area or the equivalent combination of education and work experience.

Candidates must have at least 3 to 5 years of communications or higher education experience and a working knowledge of academic departments.

High proficiency with Microsoft Office Suite and Teams and LinkedIn is required.

Preferred Qualifications

Experience with other social media and communication software is preferred.

Additional Information

This position is classified as exempt, grade K. Compensation for this grade ranges from a minimum of $54,630.00 to a maximum of $81,940.00 per year. Please note that the offered rate for this position typically aligns with the minimum to midrange of this grade, but it can vary based on the successful candidate's qualifications and experience, department budget, and an internal equity review.
