Full Charge Bookkeeper/Administrative Assistant

We are seeking an experienced and highly organized individual to join our team as a bookkeeper and general Administrative Assistant. In this position, you will play a crucial role in the operation of our small engineering firm. Your organizational skills and attention to detail will be instrumental in maintaining day-to-day operations and providing vital support for our engineers and staff. This position is full-time and in-office at our new location in downtown Salem. Compensation range is $24 - $28 per hour, based on experience. After a probationary 90-day period, we provide health insurance, paid time off, paid holidays, a retirement plan and the flexibility of working for a smaller, family-oriented company.

Responsibilities:

- Maintain accurate accounting records, including but not limited to accounts payable and accounts receivable, financial transactions, bank reconciliations and compilation of accounting reports for annual insurance reporting.

- Manage accounts receivable including, but not limited to generating invoices, tracking payments and following up on overdue accounts, database updating, etc.

- Manage incoming calls and inquiries, providing professional and friendly customer service.

- Support general office operations, including but not limited to ordering supplies, managing mail and filing both physical and electronic records.

- Utilize Microsoft Office suite (Word, Excel, File Explorer, and Teams) to create and edit documents, spreadsheets, and coordinate with staff.

Desired Qualifications:

Priority will be given to those with experience in all the desired skills; however, on-the-job training is available to the right candidate.

- Previous experience with maintaining the books of a small business that operates on cash basis.

- Experience with bookkeeping software, specifically QuickBooks online.

- Strong proficiency in accounting principles and practices.

- Experience in an Administrative Assistant or Office Management role.

- Excellent organizational skills, with keen attention to detail.

- Exceptional communication skills, both written and verbal.

- Experience in the construction or engineering industry is preferred but not required.

- Strong interest in technology and the ability to quickly learn new technical skills.

- Proficiency in Microsoft Office applications (Word, Excel, File Explorer and Teams).

- The ability to independently solve basic computer problems is a plus.

- Self-motivated and proactive with the ability to multitask and prioritize.

- Professional demeanor and the ability to handle confidential information with discretion.
