JOB DESCRIPTION: Acting under the direction of the Construction Services Manager, the clerical/administrative assistant is responsible for performing general operations and administrative support functions to help streamline company day-to-day operations, including, but not limited to the specific tasks as outlined below.

Responsibilities and Duties

Administrative services for a variety of company projects which include answering phones, filing, technical reports, research, creating and updating spreadsheets, contracts, and professional correspondence.

Respond to phone inquiries involving engineering, construction, and testing services with professionalism; assist the Construction Services Manager in scheduling and coordination/project support.

Organize and maintain employee files; track employee training plans.

Manage company physical/digital files and archives; track and maintain the references library.

Add to and maintain the company database; continuously update project and client databases.

Prepare correspondence to industry organizations, businesses, and government agencies and municipalities.

Ability to approach unique situations with creativity to resolve problems, and employ judgment consistent with company policies, practices, and standards.

Provide relief for Receptionist/Reports Administrator by assisting with technical report submittals.

Assist in maintaining the company Quality System.

Special projects as assigned.

Qualifications and Skills

Bachelor's Degree with 0-2 years of experience, Associates degree with 3 + years' experience, High school diploma/GED with 5-10 years of applicable experience, or an equivalent combination of education and experience.

Proficiency in Microsoft Office applications such as Outlook, Word, Excel, and Publisher preferred.

Ability to work in a fast-paced environment, multi-task, learn quickly and use available resources to research solutions, manage workflow amid shifting priorities, learn company processes and use new software, and desire to conform to company policies/processes and work within employer expectations.

Acute attention to detail.

Excellent written and verbal communication skills along with strong organizational, problem-solving and analytical skills.

Dependable with solid attendance record.

Professional and respectful demeanor with all staff and guests.

Benefits

This is a full-time position with some potential for overtime. We offer a competitive compensation (commensurate with the candidate's level of skills and experience) and benefits package after 90 days.
