Overview: Dynamic opportunity for experienced Admin Assistant in small, multi-cultural specialty landscape design/build firm. This position supports office PM administration while maintaining acute focus on client contracts and communications, among other tasks. Must demonstrate excellent oral and written skills.

Description: Primarily responsible for, but not limited to, producing complete and polished contracts and monitoring phases of design/build development throughout life of contract (Note: draft content provided to you); follow-up calls and emails with clients, maintain weekly crew calendars (Maintenance + Construction) and project schedules, update weekly status reports, provide support for general ofc administration including coordination between employees and IT company, assist with site/crew logistics (i.e. travel, lodging reservations and job site needs- researching vendors, equipment rentals, material procurement & delivery coordination), assist with occasional special event planning, holiday client cards and gifts, errands as needed.

Requirements: Proven track record + min. 5 years successful administrative assistant experience. Superior attention to detail with language, formatting and consistency within documents. Must be versatile and highly flexible (i.e. quick focus redirect, task responsibility and creative problem solving), adaptive and willing to work effectively in small teams as well as independently. Ability to work under tight deadlines occasionally. Proactive initiative helpful along with the patience and humility to follow specific directives. Savvy with O365, excel, internet research and both PC/MAC devices. Sophisticated, polished phone manner. This is not a remote/work-from-home position. Preferred: B.S. or B.A. Degree. Spanish speaker and willingness to travel (short term) if necessary, a plus. Hours: M-F 7:00 AM - 4:00 PM. 8 Paid Holidays, PTO + health insurance benefits. Bonuses.
