Since 1993, The Pathfinder Network (TPN) has been providing justice-system impacted individuals and their families the tools and support they need to be safe and thrive in our communities. We serve individuals experiencing incarceration, those reentering the community, those on forms of community supervision, their families, and their children, within 9 of Oregon’s 11 corrections facilities and in the community in Multnomah, Jackson, Marion, and Clackamas Counties. We develop and deliver a comprehensive scope of evidence-based, trauma-, gender- and culturally-responsive cognitive behavioral-based programs, including our proprietary, evidence-based curriculum Parenting Inside Out, which is the highest-rated parenting skills curriculum for parents involved with the criminal justice system. Our community programs feature holistic wraparound individual and group support and services. We serve an average of 3,000 people a year agency-wide.

WHAT YOU WILL BE COUNTED ON TO DO

Studies have shown that women and people of color are less likely to apply for jobs unless they believe they meet every one of the qualifications as described in a job description. We are most interested in finding the best candidate for the job, and that candidate may be one who comes from a less traditional background.

As the Accounting Specialist, you will work closely with the Finance Team, to maintain organizational internal controls, accounting policies, and procedures, and organizational mission, vision, and values.

You will provide data entry support to ensure accurate reporting on the financial status of the agency. The Accounting Supervisor will develop, oversee, and review the work performed in this position. This position is primarily responsible for the entry of accounts payable (AP), cash receipts, and other accounting/data entry transactions.

Responsibilities

Perform full-cycle AP processing.

Schedule and prepare check runs with authorized signers.

Apply postage and deliver checks to the post office.

File documents for efficient retrieval.

Prepare monthly credit card reconciliation reports and distribute them to cardholders.

Review cardholder activities for declined transactions and notify team for follow-up.

Communicate with staff to ensure complete and accurate documentation to back up transactions.

Prepare ACH payments for approvals and enter invoices into Financial Edge.

Process monthly employee reimbursements.

Resolve invoice or payment discrepancies and documentation.

Ensure credit is received for outstanding memos. Request stop-payments to be processed.

Prepare and maintain AP files by fiscal year and organize files for long-term storage.

File vendor contracts, maintain vendor contracts database in Asana, request W-9 forms and verify

business registration.

Support in the annual 1099/1096 filing.

Support as back-up in processing cash receipts and other accounting/data entry transactions into

the general ledger.

Support as back-up in preparing ACH and bank deposits. Support as back-up in delivering deposits

to the bank on a weekly basis.

Prepare in-kind donation and follow-up on supporting documentation with program operations staff

Prepare semi-monthly payroll journal entries, 401k remittance and payroll fees.

Enter benefits invoices.

Prepare in-kind contribution reconciliation monthly.

Enter one-time checks into the bank register.

Support in the annual audit.

Provide phone coverage for the finance department and relay messages to the team.

Comply with policies and guidelines, as well as state and federal rules.

Build relationships with departments outside of the Finance Team.

Performs essential functions upholding TPN in positive light and Institutional values.

Perform other duties as assigned.

Participation in Shared Leadership (=5% of your time)

Requirements

Experience and skills we are interested in:

1 year of experience in finance, accounting, and/or bookkeeping

Understanding of generally accepted accounting principles (GAAP)

Core computer skills in word processing, database management and spreadsheets

Capacity to correspond and work respectfully with diverse teams

Excellent written and verbal communication skills, and ability to present and work with diverse audiences, specifically racial, ethnic, gender expression, socioeconomic, education, spiritual and other cultural backgrounds.

Working knowledge of various accounting systems including Financial Edge, preferred

Working knowledge of payroll systems, such as Paylocity, preferred

Experience in non-profit accounting, preferred

Must possess a valid driver’s license and have access to a motor vehicle during work hours that is covered by adequate car insurance

Must pass a criminal history background back, employment verification, motor vehicle records check, and drug screen, that does not test for marijuana

Referral bonuses are payable after 60 days of employment to new employees in good standing who hold the required certifications. New candidates should specify in the job application who they were referred by, and the community member will also complete this form.

Working Conditions/Travel Requirements

The Pathfinder Network follows public health guidance for any public health emergencies and will remain in compliance with any vaccination or isolation requirements from partner agencies.

This job operates within an office and community service delivery setting. This is largely a sedentary role and this role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to use hands to finger, handle or feel; and reach with hands and arms.

Travel may be required between TPN work locations across the State of Oregon, which may require an overnight stay.

This is a full-time, non-exempt position, working 40 hours each week. This role requires flexibility in work schedule. Typical days of work are Monday through Friday; however, evening and weekend work is required, as needed. This position may work up to two days per week remote.

Compensation and Benefits: This is a non-exempt, full-time position. The hiring range for this position is $23.33 - $24.03 per hour, DOE. Salary offers are determined in conjunction with an internal pay equity assessment.
