Office Employee Job Description Position Summary

This position focuses on facility responsibilities and general communications in a Christian environment. Duties support the congregation and staff. Employee uses good time management and reinforces boundaries of the position. Manager adjusts hours to work 25 hours a week. Manager is assisted by the Pastor, Consistory President, Treasurer and the Building Manager.

Duties

Work in the office 10am to 3pm Tuesday through Friday

Coordinate activities of the church office

Design, edit and produce weekly publications (electronic and paper copies) of the bulletin (bulletin, slides, script).

Produce weekly publication of the newsletter.

Publish sermons on YouTube every week, then share to church website and social media.

Warmly welcome and interact with staff, church members and the public in person and over the phone.

Review incoming mail, voice mail and email and route as appropriate.

Secure the building by checking the entire church and then setting the alarm.

Submit reimbursement requests, invoices and bills to the church treasurer for approval.

Receive and forward approved reimbursement requests, invoices and bills to the church bookkeeper.

Maintain a neat and accessible filing system for bills, invoices, church documents etc.

Update the church website with timely information.

Publish activities with various social media platforms (e.g. FaceBook, NextDoor).

Work regularly and cooperatively with the pastor to prioritize and schedule tasks and special projects such as funerals and weddings.

Maintain building entry logs, office visitors and Sunday visitor information.

Maintain church mailing lists and records (e.g. membership records, etc.).

Keep church directory current. Coordinate with CDM database managers.

Ensure that church office equipment is maintained.

Maintain adequate inventory of office supplies.

Assist with the annual giving campaign and Congregational meetings.

Coordinate mailings of notices for Congregational meetings and giving campaign.
