Executive Assistant
We are seeking a highly skilled individual adept at multitasking, with exceptional communication abilities and a positive, proactive attitude, to offer top-tier administrative support to our executive team. The ideal candidate should demonstrate remarkable time management and organizational prowess, coupled with the capacity to foresee and fulfill the CEO's requirements in a fast-paced environment. The Executive Assistant plays a pivotal role as a primary support figure, committed to the success of the CEO, President, and Director of Administration.
Essential Duties & Responsibilities:
Administrative
Assist the CEO in managing special projects, strategic planning processes, and program development initiatives.
Provide comprehensive administrative support to the executive team, addressing both personal and professional needs of the CEO on a daily basis.
Ensure the CEO and President are well-prepared for their daily meetings.
Screen incoming phone calls and direct callers to the appropriate parties.
Manage incoming inquiries and requests, prioritize tasks, and follow up on action items to ensure timely responses.
Aid in setting priorities and agendas, conducting research on important and sensitive issues, and producing briefing materials and information on significant matters requiring attention.
Hold weekly meetings with the Director of Administration to discuss special projects or provide status updates.
Organize executive receipts for the bookkeeper.
Perform administrative tasks such as making copies, scanning documents, handling faxes, and sorting mail.
Handle bank deposits and maintain petty cash funds.
Execute personal errands for the CEO as needed.
Perform other duties and special projects assigned by the Director of Administration.
Scheduling
Manage multiple Outlook calendars, scheduling appointments, follow-ups, confirmations, Zoom meetings, and requests for agendas as needed.
Coordinate requests for interviews and speaking engagements, collaborating with the Marketing Manager to ensure timely delivery of marketing materials.
Coordinate travel arrangements, including booking flights, cars, and hotel reservations.
Qualifications:
Preferred Bachelor’s Degree in a related field
Minimum of 5 years of demonstrated experience
Exceptional interpersonal skills and communication etiquette
Strong organizational skills with acute attention to detail
Proficiency in Office 365, MS Word, Excel, and PowerPoint
Excellent project management, time management, and problem-solving abilities
Adaptability to changing circumstances and evolving needs of executives
Proactive in identifying and resolving potential challenges
Ability to thrive both independently and within a collaborative team environment
Discretion in handling confidential information
Sound judgment and effectiveness in minimal supervision scenarios
High level of organizational proficiency and consistent meeting of deadlines
Dependable with a strong work ethic
Capable of taking direction and working autonomously

Status: Part-time, non-exempt, approximately 25 hours per week in the Ashland office
