Job Description:
As the Office Administrator, you will be responsible for managing day-to-day administrative tasks, ensuring seamless office operations, and providing essential support to both management and field teams. This role is critical in maintaining effective communication with clients, vendors, and staff.
Key Responsibilities:
Administrative Support: Handle phone calls, emails, and correspondence. Assist with scheduling appointments and meetings.
Customer Service: Communicate both written and verbal correspondence with existing and potential new clients providing them with excellent customer service. Address client inquiries and follow up as needed.
Office Management: Maintain office supplies and equipment, ensuring the office is clean and organized.
Record Keeping: Manage and maintain accurate records, including client information and project files. Create documentation, generate reports and data entry.
Financial Duties: Assist with invoicing, billing and payroll processing. Handle accounts receivable and payable.
Communication: Coordinate with team members, contractors and suppliers to create comfortable work interactions/environment.
Human Resources: Post job listings, screen potential candidates, onboarding of new hires and assist with company benefits.
Data Entry: Input and update information in our various applications/platforms and industry specific software.
Scanning: Invoices, work orders, daily job reports, new hire paperwork, etc.
Support Management: Provide administrative support to the management team and assist with special projects as needed.
Miscellaneous: Light errands, bank deposits, daily mail pick-up, etc.
Qualifications:
Proven experience as an office administrator, office assistant or relevant role.
Excellent organizational and multitasking abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), QuickBooks, Google Workspace ( Drive, Docs, Sheets, Calendar).
Familiarity with office management procedures and basic accounting principles. Experience in the landscape or construction industry is a plus.
Strong communication and interpersonal skills.
Attention to detail and problem-solving skills.
Ability to work independently and as part of a team.
High school diploma or equivalent; a degree in business administration or related field is a plus.
Willingness to learn and create new systems.
Valid driver's license for state of residence.
Pay: $22.00 - $24.00 per hour
Expected Hours: 35 - 40 per week
