Position Description:
The Event Designer will manage designated post-invite, event-related issues with the hosting organization and the invited speaker, including (but not limited to): sending marketing collateral, arranging travel, coordinating pre-event media requests in the event city, creating and distributing complete travel and engagement itinerary to the host/speaker, arranging for book sales and support on site, completing post-event follow up, and collaborating with AU staff to ensure the event (both virtual and in person) is a success. The Event Designer will also occasionally make updates and additions to the AU database, and provide general administrative support on request.
Skills Needed:
- Extreme attention to detail
- High level writing, customer service, and administrative skills
- High level organizational skills
- Knowledge and experience in the literary events industry (or similar), as well as an interest in writing, reading, books, and event management
- High level interpersonal skills (dealing with difficult people and situations)
- Experience with word processing, spreadsheets, cloud-based document management, database maintenance and entry, and graphic and content design (web-based, social media, marketing collateral, etc)
- An ability to manage your own time, and diligently follow daily work standards
- The willingness to work remotely, and a work ethic that can be depended on
- Flexibility and adaptability for requested task
- Someone who can easily collaborate, and bring new ideas and insights to the AU team
Employment requirements:
- Full time / 40 hours per week
- Must be permanently and physically located Central Oregon
- All work will be done remotely, in the employee’s home. Laptop, monitor, keyboard and mouse are provided.
- Employee must occasionally be “on call” to address event issues that occur outside of business hours (such as fielding calls/texts on personal mobile phones over the weekend). Typically, these issues can be handled by email, or forwarded to the appropriate AU agent for further resolution.
- Employee will help to fill in/cover AU staff vacation and absences, when requested
- Employee will be asked to sign a non-disclosure agreement, protecting AU client’s sensitive or protected information
- Employee will be asked to meet with AU staff (virtually every week), and quarterly for in-person meetings
- Employee will utilize the Slack interface for inter-office communication
- Flexible working hours, between 5AM - 7PM PST daily (all employees asked to be online between 9AM - 2PM PST)
