Griffin Heating & Cooling is looking to expand our office team with someone who is detail-oriented, thrives in a fast-paced environment, and enjoys variety in their work.

ABOUT THE ROLE:

As an administrative team member, your daily tasks will be diverse, fast-paced, and essential to the smooth operation of our office. You'll work alongside a close-knit team to ensure tasks are completed efficiently, and you'll contribute to a variety of office responsibilities such as:

Managing communications, maintaining client relationships, coordinating schedules, and ensuring seamless daily operations.

Scheduling service appointments, dispatching technicians, and keeping our calendar on point.

Processing work orders, and proofreading invoices and proposals for accuracy and clarity before distribution.

Maintaining organized filing systems for both physical and digital documents.

Assisting technicians and customers with inquiries, making sure every job runs smoothly and with a high level of professionalism.

Collaboration with team members to implement office procedures, refine processes, and optimize workflow.

WHAT WE'RE LOOKING FOR:

A passion for helping a trusted HVAC company serve the local community.

A bachelor's degree OR 3 years of proven experience in an administrative role or similar position.

Proficiency in Microsoft Word, Excel, Google Suite, and Windows-based software.

Highly detail-oriented, organized, and self-motivated.

Strong time management skills with the ability to juggle multiple tasks effectively.

Excellent communication skills, both verbal and written.

Knowledge of, or willingness to learn basic HVAC terminology.

A valid driver’s license and a clean driving record.

Professional appearance and friendly demeanor.

Ability to lift up to 30 lbs.

Verifiable work references.

And a commitment to upholding our legacy of customer satisfaction.

POSITION DETAILS:

40 hours/week (8am-5pm, Monday-Friday with 1-hour lunch break)

On-site position (No remote work available)

Hourly wage: $26–$30/hour (DOE), equivalent to $54,080–$62,400/year
