Primary Responsibilities
Sales & Preconstruction Support
Upload bids and maintain bid calendar entries
Assist in the submittal process, ensuring timely and complete submissions
Prepare and organize job books for awarded projects
Manage project onboarding requirements (e.g., safety certifications, background checks)
Coordinate travel arrangements for crews (hotels, per diem)
Send/ship product samples and drawdowns upon receipt
Track shipping and delivery status of bid materials, product samples, or paint packages
Source and order specialty materials, tools, and supplies as needed
Project Documentation & Setup
Process Field Extra Work Orders (EWO’s)
Prepare and track project contracts and change orders
Create and process new jobs
Coordinate Certificates of Insurance (COIs) requests
Support job and warranty closeout documentation
Assist with pre-qualification documents and submissions
Administrative Duties
Check and manage field inventory: shirts, hard hats, safety vests, etc.
Distribute and update vehicle registrations
Maintain company vehicle list
Handle minor phone-based purchasing for field or vehicle needs
Order and track general office supplies
Field Team Support
Support field crew scheduling with vacation/time-off requests in coordination with scheduler
Assist with sick day tracking and scheduler communication
Help organize events such as golf tournaments, swag, and company branding giveaways
Key Skills & Requirements
Proficient with Microsoft Office (Outlook, Excel, Word)
Strong organizational and multitasking abilities
Excellent verbal and written communication
Professional demeanor and problem-solving mindset
Ability to manage shifting priorities in a deadline-driven environment
Experience in construction administration or project support preferred
