What's the Job?

The Executive Assistant provides administrative and operational support to the owners, operations director, and restaurant and bar managers. The individual will coordinate a broad variety of administrative tasks to include all aspects of meeting & event logistics with a strong emphasis on hospitality. This person will report to Ownership.

Primary Duties and Responsibilities:

Administrative Support: Assist with executives' schedules, appointments, and arrangements. Assist in preparing and editing correspondence, communications, presentations, and other documents. File, organize, and retrieve documents and reference materials. Provide general administrative and clerical support. Occasional errands for all properties. Organize and keep updated a binder for each business with a directory of vendors, maintenance contacts, partners, etc.

Event Coordination: Organize and coordinate internal and external events, including scheduling, sending reminders, and organizing vendors when necessary. Provide support during the event if necessary.

Onboarding/Staff: Coordinate new hire orientation and onboarding paperwork and app access, share basic info with the rest of the team at the relevant location, maintain staff directory, birthdays, etc.

Communication: Interact with team members and various departments to ensure smooth and efficient flow of information. Handle incoming emails, calls, and other communications in a professional and efficient manner.

Special Projects: As needed, the EA will assist with special projects.

Education, Skillset and Background:

Project Management experience required

High school diploma required; college degree or administrative certification preferred.

Ideally has experience as an Executive Assistant or in other secretarial positions.

Full comprehension of office management systems and procedures.

Knowledge of MS Office, Google, Slack, and some QuickBooks.

Exemplary planning and time management skills.

Ability to multitask and prioritize daily workload.

Strong verbal and written communications skills.
