About the Role As a Patient Services Coordinator III, you will be responsible for patient registration, scheduling, check-out, billing coordination, and administrative support. Your role will help create a smooth, efficient, and welcoming experience for every patient while supporting the clinical and administrative teams. Essential Functions Patient Registration & Check-In:
Greet patients warmly and ensure accurate demographic and insurance information is entered into the system.
Verify and update insurance details, copy insurance cards, and ensure all forms are correctly added to patient records.
Collect co-pays, ensuring payments are processed efficiently.
Communicate any changes in demographic or insurance information to the appropriate departments.
Patient Check-Out & Financial Coordination:
Verify and process patient charges in the electronic system.
Review and confirm insurance details at check-out, scheduling follow-up appointments if needed.
Collect patient balances due and reconcile daily financial transactions, including cash, checks, and credit card payments.
Generate daily reports and ensure charge audit work queue errors are corrected before releasing charges.
Assist providers and staff with billing concerns and charge capture.
Scheduling & Appointment Coordination:
Schedule OBGYN appointments, prenatal visits, postpartum care, ultrasounds, and specialty procedures.
Ensure appointments align with physician availability, patient preferences, and urgency of care needs.
Work closely with the clinical team to ensure seamless scheduling and appointment flow.
Administrative & Clerical Support:
Answer phone calls, assist patients with questions, and ensure timely and professional communication.
Assist with filing, making copies, and maintaining accurate patient records.
Serve as a key resource for billing, insurance verification, and patient financial inquiries.
Epic & Charge Entry Audit:
Resolve billing and insurance claim errors within Epic, including Follow-Up, Claim Edit, and Charge Review queues.
Research and analyze denials, missing guarantor issues, and coding discrepancies to ensure accurate charge processing.
Work closely with practice coders and revenue cycle advocates to optimize billing accuracy.
Serve as a liaison between providers, patients, and insurance carriers to address billing concerns.
Human Experience & Patient Engagement:
Proactively round on patients, ensuring they feel welcomed, supported, and informed about visit details, wait times, and next steps.
Explain billing, scheduling, and appointment processes in plain language, utilizing teach-back methods to ensure patient understanding.
Foster an inclusive environment where diversity is celebrated, ensuring all patients feel valued and respected.

Teamwork & Communication:
Collaborate with providers, nurses, and support staff to enhance workflow and patient satisfaction.

What We’re Looking For:
High school diploma or GED – Required.
Experience in patient services, medical office administration, or healthcare billing – Preferred.
Strong understanding of insurance verification, patient registration, and billing processes.
Experience with Epic or other electronic health record (EHR) systems – Preferred.
Excellent customer service, communication, and organizational skills.
Ability to multi-task in a fast-paced women’s health environment while maintaining attention to detail.

Qualifications
Education: High School Diploma or GED, required.
Experience: One year of clerical experience in medical office setting, required.
Other related experience may be considered in lieu of medical office experience.
Additional Skills Required: Knowledge of medical office software for the following: updating patient demographic information, posting charges, copays, and scheduling patient appointments. Requires excellent verbal communication skills. Must be able to work with changing priorities. Requires excellent organizational, problem solving and critical thinking skills. Must be able to interact with individuals of all cultures and levels of authority. Requires the ability to maintain confidentiality. Must be able to function as part of a team. Must possess initiative. Basic medical terminology required, knowledge can be obtained through formal classes or work experience. High level of working knowledge of EPIC systems. Detailed knowledge of multiple payors billing requirements. Familiarity of coding requirements for practice specialty.
Additional Skills Preferred: Proficient in use of all computer software utilized in practice.
