Description Position Overview:The Accounting Administrative Assistant will provide crucial support to the accounting team by performing a variety of administrative tasks. This position involves handling clerical duties, assisting with financial record-keeping, and ensuring smooth operations within the finance department. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.Responsibilities:

Assist with the day-to-day operations of the accounting department, including filing, data entry, and maintaining records.

Prepare and process invoices, expense reports, and other financial documents accurately and in a timely manner.

Reconcile vendor statements and follow up on discrepancies or missing invoices.

Assist with accounts payable and accounts receivable tasks, including processing payments and responding to inquiries.

Maintain and update accounting databases and spreadsheets with financial data.

Assist with month-end and year-end close processes, including preparing journal entries and reconciliations.

Support the finance team in preparing financial reports, presentations, and analyses.

Coordinate meetings, appointments, and travel arrangements for accounting staff as needed.

Respond to internal and external inquiries and provide administrative support to ensure efficient communication within the department.

Assist with special projects and ad hoc tasks as assigned by management.

Requirements

Qualifications:

High school diploma or equivalent required; Associate's degree in accounting, finance, or related field preferred.

1-2 years of experience in an administrative role, preferably in an accounting or finance department.

Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.

Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage time effectively.

Excellent communication and interpersonal skills, both verbal and written.

Ability to work independently and collaboratively in a fast-paced environment.

Familiarity with accounting principles and basic financial concepts preferred.

Experience with accounting software such as QuickBooks or SAP is a plus.
