Medical Spa Seeking Patient Experience + Sales Coordinator

We are an award winning, patient-focused medical spa providing state-of-the-art, non-surgical cosmetic treatments. Since our founding, we’ve been dedicated to empowering our patients through confidence-building treatments and personalized care.

We are actively seeking a detail oriented, high-energy, and service-driven individual for our Patient Experience & Aesthetic Sales Coordinator position at our midtown practice. The ideal candidate is warm, professional, and passionate about aesthetics. In addition to front desk responsibilities, this role works closely with our medical and non-medical staff to support treatment planning, follow-up and care coordination.

A Snapshot of Duties and Responsibilities:

Serve as the first and last impression for all patients—warm, professional, and knowledgeable

Educate patients on services and skincare with confidence and clarity

Assist in preparing customized treatment plans post consultation

Maintain consistent follow-up with patients to ensure satisfaction, results, and retention

Lead product and treatment sales conversations with a consultative approach

Manage appointment scheduling, confirmations, patient intake, and checkout

Maintain public areas and treatment rooms to a luxury standard

Assist in treatment rooms with patient prep and support when needed

Ensure accurate and timely documentation in EMR/CRM systems

Verifies patient information by interviewing patient, recording medical history, and confirming purpose of visit, obtains consents for treatments.

Ensure pre and post photography is entered into EMR

Assists in confirming completion of consent and pre/post forms.

Keeps supplies ready by inventorying stock, placing orders, and verifying receipt

Other duties as assigned.

What We’re Looking For:

Minimum 2 years Medical Spa or Medical Office experience required

Minimum 2 years sales experience is required

Professional, polished appearance and demeanor

Organized and detail-oriented with the ability to multitask in a fast-paced setting
