Job Title: Office Administrator / Manager (Construction Industry)
Seeking a highly organized and proactive Office Administrator to take charge of our busy office!

Key Responsibilities:
Manage all aspects of office administration with a focus on efficiency.
Provide exceptional customer service via phone and email.
Handle AIA billing and progress billing procedures.
Conduct professional collection calls and manage accounts receivable.
Perform follow-up on estimates to secure new projects.
Provide crucial support to our sales and installation teams.
Utilize QuickBooks for job costing, invoicing, and financial reporting.
Manage scheduling, communications, and filing using Microsoft Outlook and the Microsoft Office suite.
Qualifications & Must-Haves:
Minimum 5 years of experience working in a busy subcontractor, contractor, or builder's office.
Must have proven experience with AIA Billing and collection calls.
Strong management skills with the ability to take initiative and run the office.
Expert proficiency in QuickBooks, Microsoft Office (Word, Excel, Outlook).
Exceptional communication and customer service skills.
Honest, reliable, and possesses a positive, can-do attitude.
Spanish speaking is a significant plus!
