Large Not-For-Profit Health System in the Greater NY Metro area is seeking an Administrative Assistant with 2 years of experience as an administrative assistant, as well as 2 years of experience in managing/coordinating a department or office. Experience in a hospice, palliative care or aging related field is preferable.

Payrate: $30/hr, Temp to Perm Role

M-F, 9 - 5pm, Hybrid Schedule

Responsibilities

Organize and schedule monthly and weekly meetings for Business Development Leadership.

Arrange monthly/quarterly on-site hospital accounts and nursing home in-services and meetings.

Prepare agendas and necessary materials for departmental meetings and external presentations.

Handle distribution/mailing of promotional items, marketing materials, and FedEx packages for business development staff.

Coordinate distribution of meeting materials, reserve AV equipment and meeting spaces, and arrange catering for attendees.

Supports the collection and acquisition of hospice analytics and statistical data. Analyzes and condenses data for dissemination both internally and externally.

Generates, circulates, and delivers statistical reports on a weekly, monthly, and as-needed basis.

Maintains a focus on goals and targets, ensuring all BD team members are well-informed of statistical insights

Manages the department's Table of Organization for Business Development

Coordinates necessary Information Systems functions and acts as a liaison with IS when required.

Maintains and updates confidential files concerning operational initiatives, budgets, and employee evaluations as needed.

Assists in addressing employee issues, liaising with HR and Employee Health Services when necessary.

Collaborates with the Office Manager in the procurement and distribution of Admission Packets for the Business Development team.

Required Skills

Proficient in managing projects within operational environments.

Excellent interpersonal and verbal communication skills.

Strong problem-solving abilities, with a keen sense of judgment and the capacity to make decisions independently.

Capable of working autonomously, within teams, and across multidisciplinary groups.

Proficiency in writing is preferred.

Familiarity with aging-related issues is preferable

MS Office including strong Excel skills and database management.
