Position Summary

We are seeking a detail-oriented and reliable Billing Assistant to support our medical billing department in a mental health clinic setting. The primary responsibility of this role is to manage and process physical mail related to billing, ensuring that all documents are scanned and securely sent to the medical billing team. The ideal candidate will maintain confidentiality, comply with HIPAA regulations, and provide accurate, timely support to ensure smooth clinic operations.

This is a transitional role for us. As such, we don't know how many hours it will require. Our best guess is that it will be 3-10 hours/week. After 4 months, we expect that the role will diminish significantly or come to an end.

Key Responsibilities

Collect, organize, and process all incoming physical mail for the billing department.

Open, sort, and prepare billing-related documents for digital processing.

Accurately scan, label, and securely email documents to the Medical Billing Assistant and/or billing team.

Maintain a digital filing system to ensure all scanned documents are easily retrievable.

Protect sensitive patient information and strictly adhere to HIPAA guidelines.

Communicate promptly with the billing team regarding any urgent or missing documents.

Support the billing department with light administrative tasks as needed.

Qualifications

High school diploma or equivalent .

Experience in an administrative, clerical, or billing support role (healthcare setting preferred).

Knowledge of HIPAA compliance and handling of confidential patient information.

Proficiency with scanners, email, and basic computer software (Microsoft Office, PDF tools, etc.).

Strong organizational skills and attention to detail.

Ability to work independently, manage time effectively, and meet deadlines.

Preferred Skills

Prior experience in a medical or mental health clinic environment.

Effective written and verbal communication skills.

Work Environment

In-person role at the clinic office, primarily handling mail and document processing.

Collaboration with remote billing staff.

Commitment to patient privacy and secure handling of all medical documents.
