Billion-Dollar Private Equity Firm located in Downtown Manhattan is seeking a new Full-Time/Permanent Executive Assistant to support the Managing Partner of the Firm, who is amazing – incredibly nice and a great person to work for! This person will also be providing light support to one Partner and one Principal, who are very low maintenance. Candidates must have a minimum of 5+ years of applicable high-level EA support experience (open to industry/backgrounds!) and a Bachelor’s degree is required. They should be extremely polished and professional, detail-oriented, organized, discreet/confidential, “on it,” accustomed to working in a fast-paced environment, and possess excellent interpersonal (the MP wants someone “nice”) and communication skills (both verbal and written). Salary depends on experience (150-165k base), plus generous discretionary bonus eligibility, 100% company paid medical/dental/vision, 401k match, free lunch, 3 weeks’ vacation, etc.
Hours are 9:00am-6:00pm, with flexibility. 5 days/week in office (no exceptions).
Responsibilities:
Provide high-level primary executive administrative support to the Managing Partner with additional/light support for one Partner and one Principal.
Schedule and organize large and/or complex meetings involving senior-level internal and/or external participants, including coordinating Board of Directors meetings schedule.
Prepare meeting materials, including presentations, agendas, and any other required documents for distribution in advance.
Strategically manage and maintain busy and ever-changing calendars with respect to the organization’s priorities, goals, and objectives. This includes understanding important initiatives and managing the calendar accordingly.
Communicate with both internal and external constituents at times on Executive’s behalf.
Coordinate complex domestic and international travel arrangements and detailed itineraries for Executives, including flights, hotel accommodations, car rentals/car services/ground transportation, etc.
Provide general administrative support, including creating, maintaining, and editing documents, spreadsheets, and presentations.
Responsible for significant interaction with CRM database as it relates to data entry, data maintenance, and reports.
Prepare, process, and submit expense reports in compliance with the firm’s Travel Policy.
Answer all phone calls in a professional manner, take messages, and/or assist directly when appropriate.
Maintain a professional rapport with staff, co-workers, and guests.
Routinely collaborate with other admin team members and assist with special/ad hoc projects as necessary in a mutually supportive manner.
Requirements/Qualifications:
Minimum 5+ years of applicable experience supporting C-level executives.
Bachelor’s degree required.
Strong Microsoft Office Suite skills
Extensive knowledge with regards to travel planning.
Excellent verbal and written communication skills with great accuracy and attention to detail.
Verification of identity, education, prior employment, and references required.
Exceptional writing, editing, grammatical, organizational, and research skills.
A high degree of professionalism, with deep understanding that the role is an extension of the Executive.
Excellent time management, organizational, and interpersonal skills.
Ability to manage complex relationships with senior-level executives, Board members, Limited Partners, CEOs, and other colleagues of the Executive.
Resourceful, well-organized, highly dependable, efficient, and detail oriented.
