We are a construction company based in Queens, New York looking for new Administrative Assistants to help take on work load coming into our office and offer customer service to our clients. The position includes answering phones, scheduling, correspondence, expenses, and organizing work flow throughout the office. Ensure that proper preparation and materials and files are available for each day's meetings and events. Keeping inventory, managing our online platforms and answering phone calls to provide our customers with the necessary support. You will learn to run our online based programs for scheduling, create 3d computer renders, design, ordering materials and prepare estimates for future jobs.
Previous experience is not required. We are looking for bright and energetic individuals who have an apt for multitasking.
Essential Duties and responsibilities:
Performs administrative duties required to support management staff and ongoing operations.
Setup meetings as required with the staff and clients; managing multiple calendars. Communicate schedule changes to staff as needed.
Schedule all offsite meetings that the estimator attends such as meetings with customers, information providers, vendors and consultants.
Ensure that proper preparation and materials and files are available for each day's meetings and events.
Manage and file expenses for multiple managers.
Understand the team's goals and objectives in order to effectively anticipate deliverables and follow up when necessary.
Performs administrative duties required to support management staff and ongoing operations.
Performs other administrative activities as directed.
