We are a highly reputable Civil Engineering firm seeking a full time Office Manager/Bookkeeper (will consider part time)
We are a small, fast-paced team where every member plays a vital role in our success. We are seeking a proactive and detail-oriented professional to oversee financial operations, office management, and billing processes.
This position is 35-hours per week in-house five days (7-hour shift) a week (9:00-am to 4:00-pm). No nights. No weekends.
Competitive Pay based on experience.
Pay: $32.00 - $38.00 per hour
Responsibilities include but are not limited to:
Create client invoices and interact with clients, ensuring accuracy and timely follow-up on outstanding balances. Maintain accurate records and manage invoicing using QuickBooks software.
Serve as the point person for client billing, ensuring professional and timely communication.
Process Payroll using ADP.
Coordinating and registering payments to vendors
Attend weekly staff meetings and assist with project tracking.
Office management, clerical and, human resources, and office services.
Identifying and resolving issues related to office operations, equipment, and employee needs
Take initiative in problem-solving and maintain a positive, solutions-oriented attitude within the team.
Qualifications & Skills
The ideal candidate must be highly organized, have good communication skills
Proficient in Quickbooks
3 years of bookkeeping or office management experience.
Professional and clear written and verbal communication skills.
Strong problem-solving skills and the ability to troubleshoot issues proactively.
A four-year degree in Accounting, Business, or related field is a plus but not required if experience is strong.
Experience managing client invoicing and financial reporting.
Strong organizational skills, attention to detail, and ability to meet deadlines.
Basic computer knowledge, including the Microsoft Suite of Word, Excel, PowerPoint, Outlook, and Teams.
Proficiency with standard office equipment - copy/scan, phones, etc.
