Job Description:

This position performs and coordinates all aspects of the volunteer experience, including administrative tasks and retreat planning responsibilities. In addition, the Operations Coordinator assists Leadership with everyday tasks, including administrative, customer care, teacher support, and other operational ‘hands-on’ initiatives.

Job Responsibilities:

Coordinate, monitor, and direct volunteers in support of activities and programs.

Assist Leadership with planning and executing volunteer workload, including monitoring activities, as well as organizing other volunteer engagement efforts.

Communicate frequently with volunteers to ensure they are satisfied and well-placed.

Monitor current health of volunteer engagement and performance; communicate status daily to Leadership.

Determine and facilitate appropriate training for volunteers when needed.

Produce schedules for everyday activities; assign responsibilities and keep records of information and assignments.

Ensure the purpose of the organization and its vision is clearly communicated to guests, volunteers, and teachers.

Greet and welcome guests, volunteers, teachers in a friendly and helpful manner, determining the nature of the visit and direct to the appropriate person or location.

Participate in daily administration, including monitoring and responding to communication entry points.

Fulfill inquires by utilizing in-depth knowledge of the Center as well as the greater tri-state area.

As necessary, disseminate information for upcoming programs, including the preparation of materials.

Monitor Center policies and procedures. Communicate to Leadership any barriers or concerns

Perform other duties as assigned by Leadership.

May be required to work over 40 hours per week as Center needs dictate; including weekends and evenings.

Qualifications:

High School Diploma or equivalent preferred.

Enthusiastic, resilient and thoughtful demeanor required.

1-3 years of customer service, coordinating and/or administrative support, or combined experience. Previous experience working with volunteers or students in a residential setting a plus.

A demonstrated ability to muti-task and an affinity for working in an ever-changing environment.

Developed verbal and non-verbal communication skills; ability to effectively communicate in one-on-one and small group situations with guests, teachers, staff and volunteers.

A high aptitude for identifying barriers and troubleshooting with few concrete variables.

Experience in deescalating conflict or misunderstanding.

Proven capacity to work independently and as part of a team.

Able to communicate effectively with diverse people.

Exceptional organizational and project planning skills.

Being fair and objective while performing responsibilities, avoiding any perception of bias or favoritism.

Protecting confidentiality of information and privacy of guests, volunteers and teachers.

Maintaining a clean and orderly work environment.

Ability to read, comprehend and write instructions, short correspondence and memos.

Ability to perform repetitive data entry tasks and work basic mathematical problems.

Proficient using the Web to conduct research, social media usage, event administration and procurement as well as with the latest versions of Microsoft Outlook, Word, Excel, PowerPoint.

Experience using data base programs such as QuickBooks, Salesforce, customer service databases and other platforms a plus.

Regularly required to sit, stand, walk, reach, stoop, kneel, crouch, bend, and squat.

Valid driver’s License and good driving record required.

Ability to lift 1-25 pounds
