Yes County Albany Street Address Division of Operations and Systems, Office of Health Insurance Programs 11 Corporate Woods Blvd. City Albany State NY Zip Code 12212 Duties Description The HPA Trainee will serve in the Bureau of Business Operations in the OHIP Division of Operations and Systems. Responsibilities include: Act as liaison for administrative processes drafting contractual communication between the Department, its Contractors. Reviewing transmittal correspondence for completeness. Interacting with vendors customers and colleagues in a courteous and professional manner. Prepare and update all transmittal procedure manuals while utilizing program specific share drives/databases, applications, and Microsoft Office programs. Maintain the Division's multiple transmittal repositories while keeping files up to date, practicing confidentiality, and ensuring that HIPPA and all privacy/security policies are met. Manage shared mailboxes for the Division, serving as program liaison to research and retrieve archived information in response to inquiries from stakeholders, vendor staff and oversight agencies, ensuring timely and accurate response, and compliance to contact requirements, departmental policies, laws, rules, and regulations. Request budgetary approval for and purchase goods and services for Department staff reconciling as needed. Coordinate with state staff to request training and other miscellaneous purchases. Coordinate with vendor staff to request contractually obligated supplies and equipment when appropriate. Order office supplies, utilizing Department procurement card for purchasing. Process and reconcile purchases in SFS, as required. Developing and maintaining an inventory of office supplies. Ensuring compliance to all applicable state and federal policy and regulations. Coordinate and arrange meetings (including conference call, room reservations, webinar and agenda) for state and contract staff. Work with staff within the Division and support other units with general administrative duties as necessary. Overseeing administrative activities and developing and maintaining best practice documents. Making recommendation for updates to the process as appropriate. Provide training and guidance to staff to ensure proper knowledge transfer and accurate completion of day-to-day tasks. Perform other duties and special projects as required. Minimum Qualifications Permanent transfer candidates: Current Department of Health (DOH) employee with permanent or contingent-permanent status as a Health Program Administrator (G18); OR current NYS employee with one year or more of permanent or contingent-permanent, competitive service in a title eligible to transfer under Section 52.6, Section 70.1, or Section 70.4 of the Civil Service Law to a Health Program Administrator (G18), Health Program Administrator Trainee 1 (NS), or Health Program Administrator Trainee 2 (NS).
