Director/Events & Marketing

Santa Fe Railyard Community Corporation

A self-starter; strong private and public communicator; adept at diverse event logistics and supervision; proactive with outreach to local tenants and community-wide organizations; excellent organizational skills; expertise in logistics and planning for large and small events; familiarity with professional contracts; familiarity with City and State ordinances as related to public events; familiarity with public relations, press and advertising management.

Events

Oversees and approves all public use for groups of 25 or more on the Railyard Conservation Easement (Park, Plaza, and Alameda) including but not limited to outdoor concerts, movies, markets, fundraising walks & runs, political gatherings, private celebrations, food vendors, buskers and film & photo shoot permits.

Ensures all event holders provide the required:

- Registration information

- Liability release & Certificate of Insurance

- Security/Cleaning Deposit

- Fee Payments

- Logistics plans

- City and State permits (as applicable)

- Outside vendor contracts (as applicable)

- Marketing materials

Prepares and preserves all reservations, licenses and other necessary agreements for use of Railyard public spaces. Regular site meetings to discuss event logistics.

Coordinates events held in different areas of the project and with Railyard tenants/subtenants to avoid conflicts between events on the public areas and private leasehold spaces.

Maintains Master Calendar of Railyard public space events.

Physically visits event sites as needed for setup & breakdown and to verify compliance with the policies and procedures throughout.

Proactively seeks out opportunities to attract events that are community oriented or revenue producing.

Communicates regularly with and provides weekly memos to all relevant City departments on public activities and special needs regarding City services.

Attends regular City Public Works meetings and advocates for project needs relevant to public use such as infrastructure maintenance and enhancement, rail safety features, security, parking, waste management, signage and other needs.

Attends City Council committee meetings and meetings of the governing body as needed to represent funding or policy revision requests, alcohol serving requests or other issues related to Railyard public use.

Provides regularly scheduled reviews with Board of Directors, Public Use Committee, and Executive Director describing event details, schedules and all issues related to public use.

Makes recommendations to the Board of Directors and Executive Director about ways to improve utilization, maintenance, safety, security, etc. surrounding the events and use of the public areas.

Is familiar with the Railyard Policies & Procedures and responsible for periodic updates and revisions.

Is familiar with the Conservation Easement and the uses and restrictions in the document.

Coordinates and communicates with the Santa Fe Conservation Trust and the Railyard Park Conservancy.

Serves on Railyard Park Conservancy Public Art subcommittee to select temporary public art installations and performances and assure no conflict with permitted public events, public safety issues or damage to property.

Promptly and accurately provides information and documentation to the Property Manager/Accountant (deposits, fees, refunds, etc.) and assists in budget preparation for events and marketing needs.

Prepares and presents annual funding request to City for sponsorship of stage, sound, movie projection and related marketing costs for support of local organizations producing public events. Coordinates with Santa Fe Audio Visual on needs for each season schedule and assists bookkeeper in processing invoicing under City PSA.

Supports local organizations in their fundraising efforts for Railyard public events by writing letters of partnership commitment for grant applications.

Marketing

Responsible for all incoming and outgoing press and media relations. Writes press releases, coordinates press events, goes on radio shows and interviews.

Develops story ideas relating to the Railyard and collaborates with Executive Director and board members on public statements and responses.

Communicates with SFRCC Board and Staff and Railyard tenant community as needed regarding news updates, event scheduling, construction or other impactful activities.

Creates and manages annual marketing campaign, budget and delivery schedule.

Updates Railyard website event calendar, tenant directories, and other relevant information. Works with website design company on design and special feature updates.

Manages pro-active positive social media profile by sharing all public event listings, Railyard tenants’ events, Railyard news, responds to visitors and shares other communications as appropriate.

Works with graphic designer to create collateral for print advertising, maps, announcements, and other materials as needed and architectural illustrator to update maps for print and website.

Creating relevant content that can be used across platforms. Responsible for writing email newsletters and blog articles on a regular basis.

Represents SFRCC at all public events possible in welcoming crowds, thanking sponsors, supporting local presenters, and promoting upcoming events.

Requirements

Significant after-hours and weekend work during the event season (April to October).

Computer skills – Microsoft Outlook, Word, Excel, PowerPoint, Hootsuite, WordPress, social media, Event Temple a plus

Maintain a positive work atmosphere by acting and communicating in a manner that facilitates positive relationships with the public, City officials, event organizers, tenants and other stakeholders, staff, and the Board.

3-5 years event/marketing experience
