Administrative Clerical Rep Payee Program Specialist

Primary function of this position is to assist the Rep-Payee Program Manager in monitoring the collective accounts held by The Arc New Mexico on behalf of Social Security beneficiaries (Arc clients): including Discretionary Authority; Conforming to all regulations, policies, and compliance functions required by law.

Performance Measures: A successful Rep-Payee Program Specialist will produce positive outcomes in the following areas: maintain objectivity while exercising discretionary authority; ensure money spent will enhance the life of the client; staying up-to-date on all federal, state, and local laws regarding SSI, Medicaid, and NM income support division.

Perform intake, as needed, for The Arc of NM Rep-Payee program, using the criteria for eligibility established by the program, in conjunction with SSI.

Participate in meeting with all clients and Guardians to establish guidelines and payment plans, as well as budgets and a plan (if desired) for financial education.

Maintain client, guardian, agency, family living provider contacts and communication to ensure up-to-date information is provided regarding all account activity, and that basic needs are being met.

Produce monthly wage reports and submit to Social Security office.

Generate timely and complete reports, as requested, to agencies, banks, clients, Social Security, and Income Support Division.

Develop and follow document filing and records management schedule (i.e. weekly, bi-weekly).

Maintain and update the confidential database for the Rep-Payee clients.

Work closely with the Rep-Payee Program Manager when responding to clients’ payment requests in a timely and respectful manner.

Assist the Rep-Payee Program Manager with the monitoring of the collective accounts for all clients of the program consistent with the guidelines of the program and SSI.

Assist the Rep-Payee Program Manager in managing the collective accounts of all clients, ensuring that all bills are paid and that all checks are available and disbursed in a timely manner.

Participate in both individual education plans and programs for clients and Arc-sponsored trainings for the clients.

Keep up with SSI, Medicaid, and income support rules and/or requirements to ensure clients continued participation in the Rep-Payee program.

Education Level/ Years of Related Work Experience:

High School Diploma/GED is required with minimum of 1 year of financial and/or administrative experience.

SKILLS AND KNOWLEDGE

Proficiency in technical areas such as Microsoft Office; including Word, Outlook, Access and Excel.

Excellent oral communication skills reflecting solid customer service both in-person and via the telephone;

Ability to relate well in cross-cultural environments;

Ability to effectively collaborate with staff;

Ability to use time effectively;

Ability to focus on details;

Ability to adapt to shifting priorities

Ability to position and promote opportunities

Bilingual, English and Spanish is preferred

Skills and Knowledge
