Experienced Tech-Savvy Administrative Assistant (Workflow Automation & CRM Support)
Lefstein-Suchoff CPA & Associates operates two client-serving verticals: The Canna CPAs, a national cannabis-focused accounting and advisory firm, and LS CFO Advisors, which provides fractional CFO services to small and mid-sized businesses across the U.S., with a focus on contractors, trades, and retail companies. We are looking for a tech-savvy, detail-oriented administrative assistant to support both verticals by managing client data and workflows, assisting in CRM operations, and handling communications with new prospects.
In this role, you will:
Work within Financial Cents to build and maintain automation flows for both cannabis and fractional CFO clients
Download client uploads from Financial Cents, save them to the appropriate server folders, update Financial Cents with notes, and alert accountants accordingly
Assist in creating, editing, and maintaining workflow automations in Go High Level
Extract data from Go High Level and update the company calendar with notes and attachments for upcoming prospect meetings
Call, email, and text new leads to qualify and schedule them for meetings with our team
Download sales and inventory reports from client POS systems
Download payroll reports from client payroll portals
Download bank statements from client online banking portals
Perform administrative tasks including:
Printing reports from Timesheets.com to assist with client billing
Occasional printing of client bills from QuickBooks and cutting checks from QuickBooks Desktop
Other ad-hoc QuickBooks tasks
Scanning documents and organizing them properly
What We’re Looking For
Excellent computer skills and the ability to learn new software quickly
Experience with Go High Level or similar CRM
Organized, self-directed, and reliable with strong attention to detail
Comfortable with professional communication by phone, email, and text
Able to manage multiple workflows and stay on top of deadlines
Experience in a CPA, finance, or consulting environment is a plus
This is a part-time, in-house position (25 hours/week) with opportunities to grow.
