Full Charge Bookkeeper/ Office Manager

Location: Newark, NJ

Department: Finance

Salary range: $30-$35/ hour

Seeking a dedicated, detail-oriented Full Charge Bookkeeper to join our team and support our financial operations under a dynamic, and collaborative work environment.

The Bookkeeper will be responsible for maintaining accurate financial records for the company. The ideal candidate will have a strong background in full charge bookkeeping, excellent organizational skills, and a keen eye for detail.

Key Responsibilities:

Record and maintain all financial transactions including trial balance, purchases, sales, receipts, and payments

Reconcile accounts and ensure the accuracy of financial records

Manage accounts payable and accounts receivable

Assist in the preparation of management reports

Conduct regular audits to ensure data integrity and compliance with internal controls

Sales tax reporting and coordination of filings

Collaborate with other departments to ensure efficient and effective financial operations

Job tracking and generating invoices on a rolling basis as jobs are completed

Follow-up on invoice payments via phone/email as needed and to ensure payment.

Insurance COIs as needed

Grant paperwork filing as needed

Provide general office support

Qualifications:

Proven experience (3-5 years) as a Full Charge Bookkeeper or in a very similar role

Proficiency in QuickBooks Online

Proficiency in Microsoft Office Suite, particularly Excel

PC Literacy (Fully PC Environment)

Strong knowledge of accounting principles and practices

Excellent organizational and time-management skills

Attention to detail and high level of accuracy in work

Strong analytical and problem-solving skills

Ability to handle confidential information with integrity

Interest in improving systems and implementing solutions

Excellent communication skills, both written and verbal

Education:

Relevant certifications (Certified Bookkeeper) are a plus

NJ Public Notary

Work Environment/Schedule:

Work Schedule: Full Time, Monday - Friday, 9-5

(flexibility with hours/time considered if necessary)

Spanish bilingual preferred.
