Our diverse ventures span multiple industries, and we are seeking an experienced, proactive, and highly organized Personal Assistant to provide executive support in both personal and professional aspects. This is a unique opportunity to work closely with a CEO while managing various tasks in a dynamic, fast-paced environment.
Key Responsibilities:
Executive Support: Manage the CEO’s schedule, appointments, and travel arrangements, ensuring all commitments are met efficiently.
Phone Management: Answer all incoming business and personal calls and ensure they are directed appropriately.
Travel & Logistics: Coordinate travel for the CEO and family, including frequent domestic and international trips, to New Durham, NH, Miami, FL, and other locations.
Daily Briefings: Provide a sharp 7:00 AM daily briefing to the CEO, outlining key priorities for the day.
Childcare Support: Assist with the CEO’s young son during travel, so comfort with children and teenagers is essential.
Bookkeeping: Manage basic bookkeeping duties, maintain accurate financial records, and support with expense tracking.
Call Center Liaison: Ensure after-hours service calls are handled efficiently by working with the call center.
Contact List Maintenance: Keep the CEO’s contact list updated and organized.
Professionalism & Confidentiality: Handle sensitive information with discretion and maintain professionalism at all times.
Project Management: Assist with task management, document preparation, and project tracking as needed.
Qualifications:
Experience: Proven experience as a personal assistant, executive assistant, or in a similar role, with a strong background in administrative tasks and bookkeeping.
Bookkeeping Experience: Proficiency in QuickBooks Online and basic bookkeeping practices is mandatory.
Organizational Skills: Exceptional organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
Childcare Experience: Comfort and experience with children/teenagers, especially during travel.
Communication Skills: Strong verbal and written communication skills.
Tech-Savvy: Vast knowledge of Microsoft Office Suite (Excel, ToDo, Word, Calendar) and QuickBooks Online is mandatory.
Professionalism: Must maintain a high level of professionalism, confidentiality, and discretion in all tasks.
Travel Flexibility: Ability to travel frequently as required.
