The OpportunityWe’re looking for a highly motivated, engaged and experienced Executive Assistant to provide administrative support to our Head of End User Technology & Services (EUTS) and the EUTS senior leadership team. In addition to managing multiple complex calendars, you will be leading the coordination and planning of monthly leadership team meetings, quarterly town halls, working closely with the End User Technology leaders to support content creation. You’ll provide backup support to other administrative support professionals across the ETX organization and partner on department-wide initiatives as needed. This team requires someone who enjoys working in a fast-paced environment, is comfortable taking on complex tasks and enjoys working in partnership with others both on our team and across the enterprise.The TeamThe EUTS team is comprised of 150+ employees, with 16 Leaders, primarily located between our Springfield and Boston campuses. This is a multi-faceted role in which you will take initiative and operate in an autonomousway, utilizing a proactive approach to anticipate and fulfill the administrative needs of theEUTS Leadership team.

You’ll have a positive, supportive and professional attitude working with numerousinternal partners across the enterprise.

Our administrative support needs to have a high attention to detail and strive to deliver highquality product accuracy and organization and be an active partner on our team. Yourresponsibilities will include, but not be limited to the following:

Calendar management for Head of EUTS and her directs (Heads of End User Computing, Collaboration Technology & Enterprise Technology Services): accept/decline, establish intimate knowledge of meetingrequests to prioritize and make decisions on behalf of the leader, andproactively resolve calendar conflicts.

Manage the department’s budget, which includes partnering with theleadership team to prepare and submit invoices/expenses.

Schedule meetings; interface with executive support teams across theenterprise to coordinate schedules, reserve appropriate conferencerooms, prepare room and required materials for meetings’ needs.

Prepare Monthly Manager Meeting agendas and take minutes as needed,including circulating action items for follow-up.

Maintain EUTS SharePoint site & Confluence, ensure all information isaccurate and uptodate as this is a central location of all standard work of this team.

Finalize high-level materials for EUTSTown Hall & Manager Meetings and review/edit/audit materials prepared byteam.

Provides project-related support as needed for EUTS Initiatives.

Respond to inquiries (both written and verbal) as needed.

Order supplies and company items needed by co-located and remoteemployees.

Proactively identify facility/equipment/system issues; Submits servicerequests for equipment/system issues; Submits MAC requests asneeded.

Participate in ad hoc projects.

Schedule travel arrangements as needed.

The Minimum Qualifications

High school diploma or equivalent

7+ years of relevant experience in a similar role

Demonstrated ability to effectively interact with executives and senior leaders both internally andwith external clients.

Proven ability to handle multiple tasks, prioritize effectively, react and respond quickly.

Demonstrated experience working with advanced versions of Microsoft Office suite (Word,Excel, PowerPoint, etc.)

Top notch organizational skills

Deeply detail-oriented and possessstrong communication.

Strong ability to work autonomously in a collaborative environment.

Prior working knowledge of both Ariba and Concur system applications.

Ability to leverage technology - PowerPoint, Microsoft Office, Outlook, Concur,Slack, Zoom, Jira, Ariba, Box.com

Knowledge of Lean Management (Huddle Boards, Operational Metrics, etc.)
