We are seeking an experienced and talented administrative professional to join our team. Human Resources:

Responsible for the unit's transactional HR functions such as job postings and reclassifications, as well as hiring students and preparing onboarding for new employees.

Process transactions, including appointment changes, account and effort certifications, and terminations

Assist with off-boarding and exit paperwork

Maintains unit's organizational chart

Financial Operations

Provide advanced administrative support on financial policies, procedures and internal controls. Serve as the unit's point of contact for inquiries related to financial issues.

Track the financial status of unit funds; monitor expenditures and reconcile accounts, ensuring that expenses charged are reasonable and accurate. Investigate and correct financial problems. Prepare journal entries as needed.

Open and close accounts as needed

Facilitate financial transactions with foreign parties

Prepare expense reports as needed

Prepare financial reports as needed for budget planning and reporting purposes.

Participate in annual budget planning and review of internal controls

Liaise with Medical School Administration finance team, Shared Services, Procurement, and other colleagues as needed to ensure optimal management of Global REACH financial portfolio

Other Office Administration

Maintain supply of office supplies for Global REACH unit, and procure additional supplies and services as needed

Respond to annual space survey and facilitate facilities requests

Event Planning

Assist with logistics of event planning, such as identifying appropriate space and securing reservations, and planning receptions / placing catering orders

Track detailed information and itineraries for all travelers

Assist with making travel arrangements as needed

Select and procure gifts that are given to our international partners during key visits

Required Qualifications

Bachelor's degree and/or 5-7 years' experience in higher education setting or other organization serving college-level students and/or faculty members

Must have experience with financial management and human resources

Experience with event planning

Exceptional attention to detail and strong organizational skills

Effective written and oral communication skills

Demonstrated ability to manage multiple work streams at one time

Desired Qualifications

In-depth knowledge of University policies and procedures

Experience development and implementing unit policies and procedures

Proficiency navigating financial and human resource systems
